Administrative Assistant / Accounting Clerk needed for a small Real Estate Developer in the Irvine Spectrum area.
THIS IS AN ON-SITE POSITION - NOT REMOTE
This is a long-term Temporary position lasting for 6 months to a year, with possibility of being hired by the company, but not guaranteed. Pay is $20-23/hr depending on experience. Monday-Friday, Hours are 8:30 am - 5:30 pm. with a 1 hour unpaid lunch. Dress is business casual.
NOTE: Position may have periods of down time and candidate needs to be comfortable with this and may not be "super busy" all the time
Essential Duties: Responsible for general administrative support to HR and the accounting department.
Admin Duties • Check mail on a daily basis and distribute • Prepare mailings for USPS, FEDX, etc. • Manage, archive, and move all accounting documents and any additional documents to storage at year end • Maintain & update upstairs & downstairs conference rooms schedule • Coordinate all in office luncheons • Provide administrative support to HR & Accounting as needed
Accounting Duties • Open all invoices for accounting to pay, stamp date received and stamp for approval • Log all invoices where necessary • Prepare checks for disbursements: o Make copy of checks o Scan checks & invoice to network o Attach checks to invoice and remittance document o Mail out all checks upon approval • Upload invoice and check into Contrack Accounting System. • File all Payables, Journal Entries & Cash Receipts • Create Files as needed. • Make all deposits & post office visits as necessary
Ideal person will have the following skills and experience:
Min 2 years Administrative experience
Intermediate Accounts Payable experience
Fast and Accurate Data Entry - 5,000 kph
Experience using MS Word, Excel, and Outlook
Detail oriented and accurate
Comfortable with assisting with general office duties, as needed, including scanning and filing.
