Project Coordinator II Summary: The SoCal Partner is part of a team that supports our Southern California Regional offices and in cultivating connections both within our strong and inclusive internal community. The role will also focus on how we welcome new joiners into the company's Los Angeles family, both remotely and in-person. The role is responsible for executing programs, events, and strategic initiatives. The Partner will work across multiple sites and business units. This role will report directly to the SoCal Community Experience Manager.
The ideal candidate will have experience working with large organizations, driving strategic projects and internal culture and community programming. The person will be highly organized, a team player and be passionate about identifying improvements in current practices, designing and implementing new strategic programming, event planning and execution, office administration, including budget management and be able to track several concurrent projects through to completion.
Responsibilities: - Assists in coordinating schedules
- Coordinates deadlines on all deliverables
- Assists in monitoring teams progress
- Coordinates client support efforts
- Assists in preparing progress and planning documentation when necessary
- Attends all client and staff meetings pertaining to project
Skills: - Coordinate Office Welcome program logistics, presentation updates, and manage groups/listserv.
- Supports event logistics, and execution for local events in line with approved budget and in coordination with the Manager.
- Supports event logistics and execution for social events Coordinates a calendar of events each quarter in partnership with the Manager.
- Leads event production for SoCal location wide events as needed including All Hands, Leadership Fireside Chats and executive visits in partnership with Manager and event host(s).
- Collects feedback from attendees, hosts event debriefs, and compiles data on events to inform future planning efforts.
- SoCal Wiki & Microsite Updates: Maintains communication support channels for SoCal region. Serve as the main POC for ensuring site resources are up to date and relevant.
- Manage purchase orders, coordinates vendor management and on-boarding, updates budget tracker and reconciles budget as needed. In partnership with Manager and Finance SOPs.
- Manages our LA branded swag, procurement, storage, and distribution
- Create communications, marketing materials, digital assets, etc., for various events and programs.
Qualifications: - 5+ years of experience in event and/or project planning for small & large organizations
- Comfortable managing multiple projects at the same time
- Experience managing and working within specified budgets
- Experience using and building out data to solve problems
- Experience with venues, activities, and events resources
- Proven experience building cross-functional relationships between various support partners
- Comfortable working through ambiguity and uncertainty
- Proven experience collaborating as part of a cross-regional team
- Experience in using Microsoft Office Programs, Keynote, Outlook.
- Strong technical skills to utilize internal Event and Registration Tools
- Experience working with creative programs such as Canva & Photoshop
Pay range is $33 - $38 per hour with full benefits available, including paid time off, medical/dental/vision/life insurance, 401K, parental leave, and more. Our compensation reflects the cost of labor across several US geographic markets. Pay is based on several factors including market location and may vary depending on job-related knowledge, skills, and experience.
