Facilities Office Clerk
HOURS: 7am-3:30pm Mon-Fri
HOURLY PAY: $18+/hr
LOCATION: Parsippany, NJ
Job Summary The facilities Office Clerk is responsible for supporting the Facilities Manager with all purchasing, maintenance and cleaning initiatives within the Distribution Center.
Duties/Responsibilities:
Prepare purchase orders, place orders, verify receipt of goods, review/approve invoices for processing.
Coordinate returns, verify replacement/exchange of items shipped or invoiced incorrectly.
Match work orders with invoices, confirm that preventative maintenance has been completed per agreements before submitting to Corporate.
Manage supply closet inventory.
Coordinate maintenance or replacement of office equipment including cafeteria equipment.
Schedule uniform cleaning/replacement and review/approve invoices for processing.
Support the Department Manager with oversight of the cleaning crew.
Perform research relative to items/vendors that may better comply with Company or vendor requirements.
Provide backup to HR Coordinator by delivering temporary employee safety orientation and onboarding as needed.
Answer phone calls not picked up by Auto Attendant. Place phones on night status and back to day/open status daily.
Coordinates and supports safety initiatives.
Other duties as assigned.
Required Skills/Abilities:
Excellent verbal and written communication skills.
Strong organizational and follow-up skills.
Ability to anticipate and solve problems.
Ability to meet deadlines.
Proficient with data entry.
Bilingual helpful (English/Spanish).
Education and Experience:
Associate degree in Business or similar discipline preferred.
Minimum of 1 year of experience in office environment.
