Job Overview
The Executive Assistant completes a broad variety of administrative tasks for the Vice President (VP) & Chief Diversity Officer including but not limited to:
- Manages an active calendar of appointments
- Completes expense reports
- Composes and prepares correspondence, including confidential correspondence
- Arranges complex and detailed travel plans and itineraries, including the assembly of documents for travel-related meetings
- Takes minutes at institutional meetings and convenings led and headed by the Vice President
- Updates the tracking system that documents DEI programs and initiatives across the campuses, including the Doha campus
- Takes minutes for the several University committees/councils led by the Vice President, distributes them to the members of the various committees; and follows up in a timely manner with members who have volunteered to take a particular action following their participation in various meetings
- Cultivates and maintains good relationships with their counterparts and other offices/ departments with whom the Vice President collaborates on a variety of issues
- Undertakes special projects as assigned
Work Interactions and Work Mode Designation
Reporting to the Vice President of DEI & Chief Diversity Officer, the Executive Assistant works closely with IDEAA’s Office Administrator to ensure awareness and effective communication and office protocol.
The Executive Assistant is expected to collaborate with IDEAA colleagues, cultivate positive relationships with the Offices of University Leadership, and interact with multiple stakeholders, including but not limited to:
- Office of the President
- Office of the Provost, and the EVPs of the Medical Center & Law Center campuses respectively
- Office of General Counsel
- University Deans and their offices
- Office of Communications and Public Affairs
- Office of the Chief Operating Officer and Chief Financial Officer
- University Human Resources
- University Information Services
This position has been designated as Hybrid. Please note that work mode designations are regularly reviewed in order to meet the evolving needs of the University. Requirements and Qualifications
- Bachelor’s degree
- Leadership and service experience in employee organizations, student organizations and community organizations
- Strong writing & technical skills
- Social media knowledge and experience in PowerPoint slide preparation
Preferred Qualifications
- Proven track record of research engagement and event planning at Georgetown
- Knowledge of relevant university policies & student organizations, the status of Georgetown’s Employee Resource Groups (ERGs), the Staff/Academic Administrative Professionals (AAP) Council and similar groups
- DEI related planning experience and knowledge of DEI issues at Georgetown
