Position Summary |
Gettysburg College is seeking a full-time Senior Administrative Assistant to support the Associate Provost for Academic Affairs (APAA) and the Associate Provost for Faculty Affairs (APFA), as well as the overall work of the Office of the Provost.
The Senior Administrative Assistant’s responsibilities include, but are not limited to: assist in the day-to-day operations of the Provost’s Office, including answering phone calls and greeting visitors; support the APFA on matters related to faculty and their academic work, including handling confidential and sensitive information and materials such as faculty reviews; support the APAA in managing processes and communication related to the curriculum , such as course schedule, assessment, and summer course offerings; draft and proof correspondence and prepare other materials for the Associate Provosts; communicate with faculty and academic administrative assistants, including distribution of pertinent information; research and compile information for reports relevant to Academic and Faculty Affairs; coordinate travel arrangements; support committees on which the Associate Provosts serve; create and/or maintain materials, such as departmental external reviews, the Faculty Notebook, faculty and department chairs lists; and maintains spreadsheets associated with internal funding streams managed by the Associate Provosts.

Qualifications |
Associates degree in organizational management, education, communications or related field highly preferred. A minimum of five years of administrative experience, with experience in complex organizations such as higher education, healthcare, the military, preferred.
The ideal candidate will have a solid understanding of general office principles and the following demonstrated abilities: communicate effectively verbally and in writing work as part of a team and collaborate with other support staff in the office; work independently on projects; prioritize and organize daily responsibilities and long-term projects; maintain confidentiality; learn new software applications; pay attention to detail and maintain accuracy; handle multiple tasks; work in a fast-paced environment; occasionally work weekends and overtime; be a problem-solver; accept feedback in order to improve; synthesize and organize information. The successful candidate must have the ability to operate with discretion and diplomacy in a high-paced office.
