*JOB OVERVIEW:
The Philadelphia Department of Public Health (PDPH), through the Division of Disease Control, is the lead administrative and planning agency for public health emergency preparedness and response in the City of Philadelphia. The Division of Disease Control
monitors, investigates, and implements control measures for infectious diseases and conditions. The Staffing Coordinator is responsible for supporting ongoing hiring, onboarding, administrative and staff development needs related to the Division of Disease Control. The Staffing Coordinator will help to organize the Division’s hiring and onboarding processes, serve as a point of contact to multiple contract agencies that onboard Division staff, schedule training sessions and equipment pick up, assist staff with questions about basic policies and procedures, and support ongoing workforce planning and training projects.
This position is full-time, Monday through Friday, with occasional work after hours and on weekends to support Program activities. All City and City-embedded employees should expect to work in person full-time as of July 15. The position is grant funded for a minimum of one year. Continuation of the position is dependent on sustained grant funding. This job may require moderate physical effort including lifting materials and equipment of less than 50 pounds and involves viewing a CRT or VDT screen 50 to 75 percent of the time.
The position may require some travel and occasional participation in off-site functions. The position requires responding to public health emergencies and some after-hours activities to accommodate training and exercise activities.
SUPERVISION
This position reports directly to the Workforce & Staffing Manager, Division of Disease Control.
*RESPONSIBILITIES:
• Coordinate ongoing hiring needs throughout the Division, including drafting position descriptions, completing administrative processes for posting new roles, screening and interviewing applicants, conducting reference checks, and making recommendations to the Workforce & Staffing Manager
• Develop structures and procedures to track active staff within the Division of Disease Control
• Assist Division leadership with onboarding schedules, new hire trainings, and staffing agency communications
• Collaborate with Health-IT regarding technological needs for new hires, including developing and improving processes for account setup and equipment distribution
• Work with external agencies and partners to promote job postings and fill vacancies
in a timely manner
• Support ongoing staff management, including processing position changes, attrition, and providing staff with resources related to their employment
• Develop and provide trainings for new and existing staff
• Manage data systems including candidate trackers, staff directory, and other
onboarding data
• Identify areas of opportunity for improved processes and systems within the Workforce & Staffing branch, as well as the Division
• Other duties as assigned
*SKILLS:
• Attention to detail, excellent communication and organizational skills, and the
ability to present information effectively to a variety of audiences.
• Excellent English language skills, including composition, grammar, and public speaking, and proficiency in Microsoft Office applications. Desktop publishing or graphic design skills are a plus.
• Equally comfortable working individually and within a team environment.
• Flexibility, professionalism, and the ability to manage multiple projects simultaneously
• Fluency in languages other than English is also desirable
*EXPERIENCE:
• Previous administrative or logistics experience preferred
*EDUCATION REQUIREMENT:
• Bachelor’s degree in public health, social work, human resources, or another
related field preferred.
SALARY:
$65,000-70,000. Salary is commensurate with experience and qualifications. This position comes with a comprehensive benefits package consisting of medical and dental coverage, paid sick, vacation, and personal time, and a retirement plan.
