GrowNYC is a 54-year-old environmental nonprofit organization helping more than 3 million New Yorkers by providing essential services and taking action to make NYC a livable city, one where every person can enjoy a healthier, more sustainable life. GrowNYC Programs include:
- Our network of Greenmarkets, Farmstands, and the work of GrowNYC Wholesale ensure that all New Yorkers have access to the freshest, healthiest local food.
- We blanket the five boroughs with resources like food scrap and clothing collections to make waste reduction, recycling, and composting easy for all.
- We build and support community and school gardens through volunteer days, technical assistance, training, grants and more.
- We provide 70,000 children each year with programs that provide meaningful interactions with the natural environment.
Office Operations Coordinator (Full-time):
Position Summary
The Office Operations Coordinator manages the daily operations of an office, including administrative tasks, logistics, and staff management. The Office Operations Coordinator also helps projects meet goals and objectives, and contribute to reports for internal and external stakeholders. The Office Operations Coordinator is responsible for maintaining the GrowNYC office and ensuring that all operations run efficiently.
Responsibilities (Include but are not limited to):
Reception/Office Duties
- Answers, screens, and directs phone calls to appropriate staff; checks main office and voicemail and follows up with callers or forwards accordingly
- Reviews, answers, or forwards emails to appropriate staff
- Greets clients, visitors, and guests; determines the purpose of their visit, provides them with materials and directs them or escorts them to the appropriate location
- Picks up mail, documents, and packages from post office and from office mailroom; reviews items, sorts, and distributes mail to employee mailboxes.
- Notifies staff of deliveries.
- Updates employee mailboxes as staff join or depart the organization.
- Coordinates and schedules deliveries with FedEx, UPS, and messenger services
- Logs incoming checks/donations and then delivers to finance department
- Point person for 100 Gold and liaison to 100 Gold “landlord” (communicates with key individuals, schedules maintenance and cleaning, reports incidents, checks in with security, etc.…)
- Collaborates with Safety and Risk Management Senior Advisor as needed to maintain safe office conditions and safe fleet
- Schedules and oversees 3rd party consultants in the office (copier support staff, cleaning crews, contractors, etc.…)
- Performs administrative and clerical support tasks, basic filing and record-keeping, and other duties
- Orders snacks and all other office supplies
- Enforces kitchen/refrigerator upkeep
- Ensures office equipment (i.e. copiers, etc.) is functional
- Other ad hoc duties as needed
Vehicle Coordinator Duties
- Provides guidance and administrative support to the Fleet Administrator, including maintaining accurate driver and vehicle lists
- Acts as liaison with the Department of Citywide Administrative Services and oversees proper management of 6 DCAS vehicles in GrowNYC’s fleet
- Enrolls employees in Defensive Driver Course
- Follows guidelines to contests parking violations and tickets on behalf of the organization
- Reviews and submits vehicle related invoices for payment (Zipcar, etc.…)
- Along with Fleet Administrator, acts as a resource for vehicle questions, emergencies, and roadside assistance Monitor preventive maintenance schedule for city-owned vehicles and send reminders
Qualifications
- 1-3 years of experience in a similar role
- Excellent verbal and written communication skills
- Excellent interpersonal and customer service skills
- Computer literate, with proficiency in Microsoft office suite and Google suite
- Multi-tasking and time-management skills, with the ability to prioritize tasks
Physical Requirements
Ability to lift up to 50 lbs and stand/sit for long periods of time.
Schedule
The schedule for the Office Operations Coordinator position is in-person Monday-Friday, 9am to 5pm; occasional off-hours technical support for drivers.
Compensation
The position is non-exempt, full-time and salaried. It pays $50,000 - $55,000 per year and includes full benefits (medical, dental, vision, life insurance, long-term disability, incentive savings plan, paid time off, Public Service Loan Forgiveness, and potential for parental leave for full-time regular employees who have been employed with GrowNYC for 175 days and FSA programs.) This position is not union eligible/not a part of the bargaining unit.
Location
GrowNYC’s office is located in Downtown Manhattan.
