CLASS TITLE: SCHOOL OFFICE COORDINATOR I
BASIC FUNCTION
Under direction of the school Principal, plan, organize, coordinate and oversee day-to-day office activities at an elementary school or continuation high school; establish priorities and organize work flow and communication between the Principal and staff, District offices, parents and others; train and provide lead work direction to office staff as assigned.
DISTINGUISHING CHARACTERISTICS
The School Office Coordinator I is assigned to an elementary school or a continuation high school and is responsible for coordinating and scheduling the work in the school office. School Office Coordinator II positions perform similar duties at a middle school or K-8 which typically have more complex, diverse programs and processes.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: Incumbents in the classification may not perform all of these tasks or may perform similar related tasks not listed here.
- Operate a computer terminal to enter data and generate required lists, records and reports. (E1)
- Organize, coordinate and facilitate communications for the Principal and Assistant Principal. (E1)
- Plan, organize, coordinate and oversee school office activities and communication. (E1)
- Prepare and maintain a variety of records including permanent student records and teacher payroll; maintain time and attendance sheets. (E1)
- Prepare, type and proofread a wide variety of materials including correspondence, bulletins, reports, memoranda and other materials. (E1)
- Train and provide work direction to assigned clerical staff and student workers. (E1)
- Assist the site Administrator to establish priorities and assure the timely and procedurally correct completion of administrative support, secretarial and clerical assignments. (E2)
- Interpret, apply and explain school and District policies, rules and regulations. (E3)
- Maintain calendars for the Principal and Assistant Principal; schedule meetings, assemblies and conferences; plan and make travel reservations; schedule rooms for meetings held at the site. (E3)
- Operate a two-way radio. (E3)
- Order office and school supplies and report equipment malfunctions. (E3)
- Provide first aid to ill or injured students; dispense and record students' prescription medication. (E3)
- Greet and register new students.
- Maintain and record petty cash and receipts.
- Perform year end and new year records processing.
- Prepare, process and maintain files of Worker’s Compensation claims; provide employees with information and forms.
- Prepares monthly and quarterly reports.
- Request and orient substitutes for classified and certificated positions; provide keys, instructions and teaching materials.
- Serve as the secretary to the Principal and Assistant Principal; assist with special projects as requested.
- Perform related duties as assigned.
MINIMUM QUALIFICATIONS:
The requirements listed below are representative of knowledge, skills and abilities required to satisfactorily perform the essential duties and responsibilities.
EDUCATION AND EXPERIENCE:
A. Graduation from High School or equivalent required.
B. Business training and two (2) years of responsible secretarial or office management experience.
Or
Any combination of education, training, and/or experience which demonstrates the ability to perform the essential duties may be substituted for the required experience and/or education.
LICENSES AND OTHER REQUIREMENTS:
- A certificate stating freedom from Tuberculosis.
- A valid California Drivers License preferred.
- Valid CPR Certification preferred.
- Valid First Aid Certification.
KNOWLEDGE OF:
- Correct English usage, spelling, grammar, punctuation, vocabulary and composition.
