Find out more here:http://smhs.gwu.edu/ The Office of Medical Education (OME) is the centralized office committed to developing, delivering, and managing the curriculum for pre-clinical and clinical medical education. It includes staff and decanal faculty and supports faculty, students, and curricular committees.
The primary purpose of the Program Coordinator, OME is two-fold: 1) manage the planning, coordination, and execution of student assessments and examinations in the MD program, and 2) oversee the Clerkship Management System, MedHub. The position will coordinate all aspects of student assessment processes and serve as a resource to program constituencies in the two areas of the role. Other duties may include coordinating and scheduling program events, managing curricular affairs, generating communications, and supporting efforts toward developing the program curriculum. The purpose of this position is to provide general administrative support to and on behalf of an academic program or initiative. This role will serve as a point of contact for the program, will answer typical program questions, and will assist the program staff with a variety of functional and administrative support. Support could include answering routine and complex inquiries, enrollment assistance, updating websites and list-servs, planning and executing events, scheduling rooms, ordering equipment, processing payments, data entry, preparing reports, and similar duties. Often these roles are tasked with outreach to other GW stakeholders in order to assist in maintaining standard operational efficiencies. Typical duties often are administrative in nature including tasks that are routine, and under the general supervision of more senior personnel within the department, or program.
PRIMARY DUTIES AND RESPONSIBILITIES:
- Manages the Examsoft system for all preclinical examinations. Maintains all records and user access to Examsoft. Maintains exam questions database in conjunction with the Instructional Learning Assistant. Ensures all exams are formatted and posted accurately. Runs reports and provides Examsoft technical support to course directors and other staff.
- Coordinates all administrative aspects of MD program assessments and exam administration for the preclinical curriculum. This includes managing and communicating exam logistics with faculty, students, proctors, student affairs, and university Disability Support Services. Manages logistics and communications for exams outside the typical schedule, such as makeup, rescheduled, and remediation exams.
- Manages all administrative aspects of the MedHub system: user management, system and workflow configuration, data management and reporting, duty hours tracking, evaluation management, system maintenance, and quality improvement. Maintains data quality in the MedHub database and monitors data entry for reporting on duty hours, clinical encounters, procedures, and faculty, resident, and student clinical evaluations.
- Maintains the MD program academic dashboard. Updates dashboard with student grading data on an ongoing basis. Works with constituencies in the development of the dashboard.
- Acts as the administrative lead for curriculum committees, assisting with monthly meetings, taking detailed meeting minutes, tracking initiatives, and communicating with the subcommittee.
- Lead proctor for exams and exam reviews. Acts as on-call Examsoft support for proctors during exams.
- Candidate should possess strong organizational skills and keen attention to detail.
- Knowledge of health professions education, particularly undergraduate medical education and/or graduate-level curriculum development and management.
- Fluency with technology and computer systems is essential; candidates must have a working knowledge of applications typical to academic and office environments.
- Experience working with assessment software (e.g., Examsoft), program administration systems (e.g., MedHub), or Learning Management Systems (e.g., Blackboard).
