Job Summary/Responsibilities |
Event Services Assistant are responsible for the execution and support of all events scheduled in the multiple venues of the John A. Delaney Student Union.
In this role, employees:
- Set up event-related furniture and equipment, such as tables, chairs, staging, and dance floors, according to established procedures.
- Follow safety guidelines for performing work-related tasks.
- Enforce Student Union and University policies.
- Complete ongoing trainings on event-related equipment, policies, and procedures.
- Provide high level of customer service to clients and visitors to the Student Union.
- Communicate with clients in an effective, courteous, and professional manner.
- Greet clients upon arrival and provide access to event space.
- Operate audiovisual (A/V) equipment and troubleshoot as necessary.
- Maintain event, common, and storage spaces within the Student Union (meeting rooms, ballrooms, auditorium, and outdoor spaces) including organizing areas, performing basic maintenance, and general cleanup.
- Conduct inventory assessments of event assets.
- Maintain proper procedures for handling and storing equipment. Report broken or malfunctioning equipment in a timely manner. This may require moving items that weigh up to 40 lbs.
- Monitor hallways, entrances, and exits of event space to ensure compliance with established event policies.
- Assist with crowd control and capacity to ensure orderly evacuation in the event of an emergency.
- Identify potential disruptions in event flow before, during and after the event.
- Ensure equipment is kept in good, clean working order.
- Report facility and equipment issues. Report custodial issues to Physical Facilities.
- Post throughout the facility room cards and event schedules.
- Report any incidents or injuries to Professional Staff or Building Managers.
- Execute emergency response procedures when necessary.
- Maintain communication with employees on other Student Union teams, such as the Event and Guest Services teams, to request and provide support as needed.
- Wear close-toed shoes and a provided staff t-shirt and nametag.
- Perform other duties as directed by Student Union Professional Staff, Lead Event Services Assistant, or Building Manager.
Mandatory paid trainings include:
- New Hire Orientation (3-4 hours)
- Semi-annual staff training the Friday before Fall semester begins
- Ongoing role-specific trainings as scheduled by supervisor
Physical requirements of this position are as follows:
- Frequent: 30-70% – Standing; Walking; Lifting up to 30 lbs; Pushing/Pulling; Reaching; Stooping/Kneeling/Crouching
- Occasional: Up to 30% – Sitting; Lifting 30-60 lbs; Climbing
