We are seeking a highly organized, proactive, and experienced Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will possess exceptional communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. This role is crucial to ensuring the smooth operation of our executive office and facilitating efficient decision-making processes.
Key Responsibilities:
• Provide high-level administrative support to the CEO, CFO, and other senior executives.
• Manage complex calendars, including scheduling meetings, appointments, and travel arrangements.
• Prepare and edit correspondence, reports, presentations, and other documents as needed.
• Coordinate and organize internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
• Act as a liaison between executives and internal/external stakeholders, maintaining professionalism and confidentiality.
• Conduct research and compile data to assist with strategic planning and decision-making.
• Handle sensitive and confidential information with discretion.
• Manage and prioritize incoming communications, including emails, phone calls, and mail.
• Assist in the preparation and organization of board meetings and other executive events.
• Maintain and organize electronic and paper filing systems.
• Support special projects and initiatives as assigned by the executive team.
• Anticipate the needs of the executives and proactively address potential issues.
Qualifications:
• Bachelor’s degree in Business Administration, Communications, or a related field preferred.
• Minimum of 5 years of experience as an executive assistant, preferably in the architecture, design, or construction industry.
• Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment.
• Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
• Excellent written and verbal communication skills.
• High level of professionalism, integrity, and discretion in handling confidential information.
• Exceptional organizational skills and attention to detail.
• Ability to work independently and as part of a team.
• Strong problem-solving skills and the ability to anticipate needs and provide solutions.
• Experience with project management and coordination is a plus.
