Job Description
Through management of their specific functions, the Alumni and Donor Engagement Project Coordinator enables the Office of Alumni and Donor Engagement to achieve its mission of cultivating and maintaining relationships with the University’s alumni so as to have a positive impact on the Advancement goals of the University. Specifically responsible for performing duties associated with the many operations and activities of the Office of Alumni and Donor Engagement.
Salary Range: $45,000 – $48,000 annually
Duties & Responsibilities
Responsible for responding to alumni inquiries (phone and email) and appropriately directing inquiries to Advancement team as needed
Oversee the day-to-day operations of the Alumni and Donor Engagement office including but not limited to budget tracking, expense reports, meeting support, catering, procurement, purchase orders and other arrangements, providing similar support for other members of the Advancement team as needed
Participate in the planning and execution of all alumni and donor events
Independently plan and execute small events for alumni, internal academic and student activity groups as needed
Strengthen alumni relationships with the University by engaging alumni at events, visits to campus, etc.
Collaborate with the Alumni and Donor Engagement team on Almabase and Raiser’s Edge NXT for event planning, tracking and alumni outreach. Create registration event records and pages alongside other members of the Alumni and Donor Engagement team.
Create e-collateral using communications tools (e.g., Canva, Constant Contact, etc.)
Procure branded merchandise for dissemination to alumni
Identify items of special interest from alumni line and mailbox to Advancement leadership or others in the division for potential fundraising efforts
Support volunteer management for special projects and committees
Support donor engagement with tax receipt and gift acknowledgement process
Required to work evenings and weekends for events
Other duties as assigned
Qualification Standards
Education
College degree or professional certification/equivalent experience required
Physical Demands
Experience
Demonstrated excellent computer skills including Google Workspace and Microsoft Office applications
Demonstrated superior communication (e.g. written and verbal) and customer service skills (e.g. outgoing, dependable, affable, team player)
Demonstrated superior attention to detail, quality and ability to effectively and consistently proofread
Demonstrated ability to work independently and collaboratively with a team
Demonstrated ability to analyze situations, listen effectively, communicate clearly and problem-solve
Demonstrated ability to manage multiple tasks through organization, prioritization and scheduling
1-3 years of professional work experience in advancement, public relations, or related business environment
Other Considerations:
Expected ability to execute event execution at an external location including transport to the event location from the University, set-up, breakdown and transport back to the University
Must have the ability to learn and show aptitude over time in Advancement specific database applications, design tools (e.g. Canva), email system (e.g. Constant Contact), alumni relationship building and internal community relationship building
Able to demonstrate an understanding of and commitment to Jesuit heritage and ideals
Working knowledge of Raiser’s Edge
