Primary Responsibilities: The Stine Facilities and Operations organization delivers world-class facilities and operations that enable R&D to advance an industry-leading agricultural pipeline. Reporting to the Facilities Director, the primary responsibilities of the Facilities Specialist is to serve as the site communications lead; primary resource for site services and community engagement initiatives; and provide procurement support to meet the needs of site operations.
Key Responsibilities:
- Serve as the site communications lead; review requests for site-wide communications and compose and issue important information and reminders to the research community and others in a timely and effective manner.
- Serve as a primary resource for site special events, facility maintenance issues, site service delivery needs and requests; assist as needed to independently resolve.
- Maintain site policies and procedures consistent with FMC policies and Environmental, Health, Safety, and Security policies.
- Coordinate the site tour process; screen requests for internal and external business and VIP tours; manage logistics and communications for involved parties.
- Own the site space planning process; receive and process move requests, set up phone service; and maintain accurate office and lab space plans with current occupancy data.
- Serve on the Stine Incident Management Team and the Inclement Weather Team; compose and distribute related site notices and maintain team documentation.
- Administer the site’s Emergency Notification System, which is a web-based text and voice-messaging system; serve as the primary user to relay information during emergencies and to communicate any immediate impacts to site operating schedules.
- Maintain site’s utility services data and provide other support for service contract needs; set up purchase orders and process invoices for payment.
- Provide capital project support to the Site Engineering Team; assist with procurement requests.
- Maintain relationships with various community contacts and State Departments (i.e., DelDOT); coordinate meetings with members of the surrounding community. Promote site community outreach events, process donations, and maintain records of events and employee participation.
Qualifications
- Bachelor’s degree in Business Administration, Facilities Management, or equivalent experience
- Minimum two years ‘experience in administrative/operational/contract administration role
- Minimum five years of experience leveraging SAP, UL360, Bentley, and other data management platforms
- Highly effective written communication skills with strong attention to detail
- Experience with Emergency Notification Systems or tools
- Strong interpersonal and organizational skills
- Experience with budget management and possession of business acumen
- Proficient computer skills required including Microsoft Office Suite, Outlook, SharePoint, Excel
- Demonstrated ability to present information to all levels in the organization and address external organizations.
- Ability to plan, lead, organize, document, and manage business meetings.
- Spirit of teamwork and cooperation when working with diverse groups contributing to an enthusiastic, positive work environment
- Self-starter who acts independently with minimum supervision to solve problems and gets results
- Availability off-hours as needed
