Job Summary
The Workforce Development Assistant is responsible for assisting the Workforce Development department with the administrative support of Workforce Development functions and programs.
Compensation is between $19.00 - $24.70 depending on experience.
Primary Responsibilities:
Assist with New Hire Orientation including materials, scheduling, room setup, and reset
Assist Extern/Internship program coordinator with record keeping, tracking, distribution, and data collection.
Record keeping and data entry for all employee training
Conduct basic functions of the Learning Management System (LMS), including enrollment, creation and tracking of training plans
Assist with training program logistics, assessments, and follow-up
Conduct research, compile data, and prepare for collation and distribution of internal newsletter using Mailchimp
Collate department monthly reports, perform basic statistical calculations on data for reports and presentations when necessary
Manage materials for training and development
Create communications via the internal Intranet
Coordinate materials, scheduling, room setup and reset with external vendors
Respond to inquiries, answer questions, and independently resolve inquiries whenever feasible.
Perform general clerical duties to include, but not limited to, record keeping, copying, data entry, composing correspondence, scheduling meetings, providing customer service to internal and external customers
Compose and/or prepare correspondence, memoranda, and reports using appropriate applications and tools
Perform specialized administrative duties required to support the specific training and technical assistance projects using discretion to make judgments based on operating guidelines
Scheduling/calendar/room/materials of in-person, virtual, self-study, and/or off-site training
Prepare agendas and make arrangements for conference calls, workgroups and team meetings or related meetings
Cover administrative front desk for breaks and vacations
Perform other administrative duties as directed
Requirements
Education and Experience
Minimum high school diploma or equivalent
Associate degree preferred or equivalent experience
2 years experience in general administrative coordination. Preferred experience supporting training/event coordination or education program coordination and support
Any combination of training, education, and experience that would provide the required knowledge and abilities
Essential Skills/Abilities:
Demonstrate proactive creative problem-solving with strong customer relations skills
Demonstrate effective planning, organizational skills, responsiveness, and the ability to multi-task and the ability to adapt to change
Demonstrate ability to communicate effectively with diverse audiences in a variety of ways
Strong oral and written communication skills are a must
Excellent grammar, writing, editing, and research skills is required
Excellent interpersonal and relationship-building skills
Working knowledge of general office and clerical procedures and equipment
Highly organized, capable of handling multiple priorities, meeting deadlines, and managing time effectively.
Ability to review, edit, and assist with the development of training and technical assistance materials
Ability to successfully gather necessary information from a wide variety of sources in an efficient and effective manner
Ability to work independently as well as an effective team player
Ability to maintain confidentiality
Ability to assume responsibility and exercise good judgment in making decisions within the scope of the authority of the position
Ability to drive an automobile to other off-site locations.
Physical Requirements and Work Environment
The work environment is characteristic of normal office conditions. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is frequently required to sit; use hands to handle or lift. The employee is occasionally required to stand; walk; and reach with hands and arms. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus. The employee must also possess hearing and speech to communicate in person and over the phone. The noise level in the work environment is usually quiet.
The employee may be required to run agency related errands and attend off-site meetings; the employee must be able to operate, maneuver and/or control a motor vehicle. In performing the driving responsibilities, the driver may sit for long periods. This requires intense concentration, particularly in poor driving conditions.

Additional Requirements
Must have a current and valid California driver’s license, own a dependable automobile, and the ability to provide proof of personal auto insurance on the vehicle driven during working hours.
