Position Description
Harris County Office of Managed Assigned Counsel:
The Harris County Office of Managed Assigned Counsel (MAC) is a governmental entity created by the Harris County Commissioners Court for the purpose of appointing counsel in criminal and juvenile delinquency proceedings before Harris County’s District Courts and County Courts at Law. The MAC supports attorneys in treating clients with dignity and respect through high-quality legal and holistic representation to persons accused of a crime who are unable to afford an attorney.
The Receptionist is responsible for all duties associated with front desk and reception area within the MAC. Responsibilities include but are not limited to general administrative duties, greeting visitors, answering, screening and transferring calls to appropriate staff, returning calls on behalf of MAC staff as directed, ordering office supplies, assisting with appointed attorney qualification checks and interfacing with the public for general business purposes related to the MAC.
Duties and Responsibilities:
Answer and respond politely and in a timely manner to visitors’ questions, calls, emails, and provide them with the relevant information.
Route callers to appropriate staff, return calls as needed, accurately take and relay messages and provide information to callers.
Check voicemail for any missed messages from clients or staff.
Serve visitors by greeting, welcoming, directing them appropriately and ensure that visitors are not allowed beyond the reception area without being announced and/or approved.
Notify relevant staff when visitors arrive.
Organize the reception, lobby, conference room and satellite office areas, including coordinating meeting room reservations.
Maintain professional appearance both personally, of the front reception, lobby area, supply room and conference room keeping it clean, neat, and organized.
Ensure the areas comply with office procedures, rules, and regulations.
Create office building work tasks and abide by HC building procedures.
Sign for deliveries, receive deliveries, and ensure mail and packages are distributed accordingly.
Prepare outgoing mail for delivery to post office.
Retrieve mail from the County mailroom.
Organize, maintain and keep a record of office supply inventory and expenses.
Assist as needed with MAC appointed attorney qualification checks and case assignments.
Perform general administrative duties, clerical support and other duties as assigned.

Education and Experience:
High School Diploma or GED equivalent from an accredited educational institution.
One (1) year of general business.
One (1) year customer service experience.
Knowledge, Skills and Abilities:
Basic computer skills and general knowledge of Microsoft Office applications.
Skills in performing data entry/retrieval, documenting, reporting, multi-tasking, meeting deadlines, and working under pressure.
Organizational, problem solving and basic mathematical computation skills.
Effective verbal/written communication and telephone skills for interacting with the public (court personnel, attorneys, clients, including clients detained in jails, clients’ families, staff, etc.)
Ability to manage multi-line phone system and telephone communications effectively, including answering calls, directing inquiries, and taking messages.
Ability to act with integrity, professionalism, and confidentiality.
Ability to prioritize tasks, meet deadlines, organizational skills, attention to detail, work independently and as part of a team.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Employment may be contingent on passing a drug screen and meeting other standards.
