Serve as the contact and administrative site supervisor for medical students within the Department of Medicine (DOM). Serve as the primary liaison between Bridgeport Hospital (BH) and the Yale University School of Medicine as well as liaison with other medical schools whose students train at BH (at present, this is primarily Saba University School of Medicine) EEO/AA/Disability/Veteran Responsibilities 1. Aid with housing as necessary. 3. Assign and coordinate all student core medicine clerkship rotations (Yale medical students and physician assistant (PA) students, and Saba medical students). 4. Interact with program administrators and the students themselves to schedule and confirm elective medicine rotations (all medical subspecialties, MICU). 5. Provide notification of rotations/electives to appropriate BH personnel (clinical leadership in medicine and its subspecialties, nursing, graduate medical education (GME), security, parking, etc) on, at minimum, a monthly basis. 6. Provide necessary supporting documents to assist them at the US borders, if they are coming from outside the US (as many are) for their rotation at BH. 7. Schedule and distribute the monthly student didactic lecture series monthly. Individually contact all physicians involved in the lectures to arrange /schedule dates and arrange for scheduled topics. Revise schedule in an ongoing fashion during the month as necessary. 8. Supervise orientation session for the incoming students (Yale medical students, Yale PA students, Saba medical students, other MD observers and students) as necessary (generally twice monthly or more). 9. Coordinate orientation with the other participants -Clerkship Director/Chairman of Medicine, Medical Chief Residents. Assemble, distribute and review orientation packets, which should include rotation schedule , conference schedule, rotation-specific information, PHI protocol and sign-off, Security and Parking Services, Clerkship Primer, and other documents as necessary. Present overview of expectations, pertinent protocols , chain of command, and other associated information. 10. Follow-up with each individual student within 48 hours to receive immediate feedback and to provide an opportunity to communicate any questions/concerns that they may have after beginning their clinical assignments. Allow for prn communication with students if problems arise, and follow-up weekly as a routine. 11. Mentor and support students; problem solve/trouble shoot as necessary. 12. Monitor student interactions with other services and other students; resolve conflicts as necessary. 13. Issue, track and collect evaluations for elective and core medicine rotation experiences. Tabulate composite evaluations for the core rotation students as necessary. Submit all evaluations to the respective school (via email). Contact and re-contact faculty as necessary to collect evaluations. 14. Arrange for an exit meeting with all students at the end of each rotation (meetings will occur once or more monthly). Distribute copies of the Core Rotation Evaluation Forms and ensure completion by all students and discuss results monthly with the Clerkship Director. 15. Complete forms that are state-mandated for licensure application (i.e., L6 form from the Medical board of California). 16. Upload clinical Letters of Recommendation received from the faculty for students participating in ERAS. 17. Track and report on influenza vaccine status to clinical leadership. 18. With the Clerkship Director, meet annually (or as necessary) with the representatives of Saba Medical School (Dean or his/her Associate Dean) and/or other foreign medical schools whose students might rotate at BH . Complete site survey review documents and coordinate the survey schedule for the Departments of Medicine and Surgery. 19. As necessary, with the Clerkship Director, meet with accrediting bodies' representatives and complete required documents as needed. 20. Co-Chair the Student Education Committee of the Department of Medicine. Generate agenda and necessary meeting materials, distribute to members. 21. Post payments form Saba Medical School and any other medical school payments in rotation ledger and individual student personnel files. Qualifications EDUCATION Associates degree in Secretarial Science or equivalent education. EXPERIENCE A minimum of two years related experience. SPECIAL SKILLS PC proficient with knowledge of Word and spreadsheet applications, Knowledge of medical terminology.
