Provides the College of Medicine Dean's Office with accounting, financial analysis, payroll, project coordination, personnel and administrative coordination, and event planning.
Duties:
- Manages and creates monthly billing to all contracted funding sources. Uses Residency Management System billing software to create and send monthly invoices to our participating sites that provide funding for resident salaries.
- Reconciles accounts monthly, serving as a liaison between COM Departments and funding sources. Monitors and troubleshoots billing practices serving as primary contact for departments who use the billing software.
- Analyzes departmental billing procedures, makes recommendations, and develops strategy for change.
- Monitors compliance with funding budgets. Works with hospital partners to ensure proper documentation is maintained.
- May assist in the preparation on of the budget.
- Creates reports and program documentation. Gathers data from Residency Management System and other sources to assist the Associate Dean for GME and Director of GME. Analyzes resident statistics along with financial data to maximize funding and provide accurate financial information for strategic planning purposes.
- Assists in delivering training and programs. Provides training to programs regarding rotation/clinic schedules, rotation sites, and documenting leave in Residency Management System to ensure accuracy and maximize reimbursement from funding sources.
- Assists with the development, implementation, and interpretation of policies and procedures, ensuring compliance with federal, state and university policies and regulations.
- Manages departmental accounts. Reconciles monthly financial reports to clear outstanding expenses, payroll, budget revisions, and transfers. Creates cost spending certification reports. Monitors and ensures money is spent correctly. Sets up new vendors and ensures invoices are on the correct accounts.
- Coordinates and carries out projects or assignments requiring initiative, independent action and specialized knowledge or expertise.
- Performs administrative duties including but not limited to ordering and tracking supplies, making travel arrangements, reimbursements, keeping a calendar, setting up meetings and appointments, and assisting with various awards and award committees. Solves departmental problems as they arise.
- Oversees records maintenance (office files, etc)
- Provides Faculty support with purchases, travel and faculty liaison, policies and procedures, faculty awards, funding requests, reimbursement requests.
- Performs various duties as needed to successfully fulfill the function of the position.
Qualifications:
Required Education: Bachelor's degree in Accounting, Finance, Business, Management, or related field..
- Equivalency/Substitution: Will accept 48 months of related experience in lieu of the Bachelor's degree.
