HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:
The Administrative Assistant (AA) will share responsibility in supporting these branches and officers as a member of the Front Office Staff consisting of Chief, Deputy Chief, Chief of Staff and one Support Integration Officers
The permanent work location will be at HQS
The Support Staff Front Office AA will be required to independently process support requirements from start to finish
Although many requests are transactional, there is often an added level of complexity requiring critical thinking skills to ensure each situation is appropriately addressed and seen through to completion.
As the sole administrator for the FO, the AA will be in a customer facing position and will independently manage the day-to-day administrative requirements
The AA will support senior leadership at the GS-15 and SIS level and must possess professional decorum and utilize discretion when performing duties
Solid verbal and written commtmication skills and the ability to work independently are required
PHYSICAL REQUIREMENT-This position does not require any heavy lifting
TRAVEL/TDY- there is no requirement to TOY or travel to other buildings
SCHEDULE REQUIREMENTS- The candidate must arrive no later than 0830, and additional hours are authorized if the candidate needs to stay past 8 hours
The AA will need to have a solid working knowledge of Outlook (email and calendars); basic skills with Microsoft Office applications (WORD, POWERPOINT, EXCEL); SharePoint, Sponsor Access Request System, Sponsor Internal Communication System, Sponsor Timekeeping System, and Sponsor Procurement System
Prior Sponsor experience and being a proficient user of listed systems is preferred
Some OJT can be done upon arrival, but knowledge of Outlook and Microsoft Office is required
Candidate will not supervise
The AA will complete the check-in/check-out process for all officers in the Support Staff, submitting System Access requests and vault access requests
Work with MC Security to make sure officers have the proper clearances for said accesses
Greet and direct visitors to the FO and other sections of the vault
Update and distribute phone cards/rosters on a regular basis
Update organizational charts and maintain accurate lists of users for group addresses
Inform officers of any training they may need in order to get accesses
Serve as recorder and send reminders for officers' time and attendance
The AA will manage and approve requests for MC conference rooms
This will include one direct conference room and locating or assist in locating circa 15 other conference rooms throughout the MC
Track and locate other conference room/meeting space in the Sponsor Organization for larger groups
Assist in arranging special presentations such as All-hands, off-sites, award ceremonies, speaker presentation, etc. at the direction ofFO management
The AA will strategically manage the calendar of three Support Staff managers, evaluating priorities and shifting events as necessary to ensure the appropriate representation is available for events and informing stakeholders as necessary
Also, candidate will manage the Leadership Team leave calendar ensuring officers have access to and update the leave calendar as necessary
The AA will print, copy, and put in binders, presentations, applicant packages, promotion panel documentation, and other information needed for group review and meetings
WHAT YOU'LL NEED TO SUCCEED:
The position requires an active TS/SCI with Polygraph clearance
The position requires High School Diploma and three (3) years of relevant experience or equivalent combination of education and experience
Core hours are 8:30am-3pm, arrival time is between 7:00am-8:30am (no later than 8:30am)
Candidate must be able to operate in a team environment as well as successfully work on their own
This position is on customer site

The likely hourly rate for this position is between $27.82 - $34.50. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
