The NCPC is seeking a Poison Center Administrator, Finance & Grants. The incumbent will report to the Center’s CFO and will help manage the Poison Center’s $5M annual budget as well serve as the lead on grant applications and grant reporting to funders. The incumbent will also work with project directors to ensure superior grant performance, timely and accurate grant reporting, and continued funding from grantors. The incumbent will participate in improving the financial stability and NCPC through relationship building with existing and potential funders.
Job Duties:
Ensures seamless, sound, and accurate accounting and financial practices are adhered to. Develops new policies and implements practices as accounting standards evolve. Assesses and evaluates grant program objectives and grant deliverables to ensure long-term financial stability of the Center. Evaluations will be shared with leadership to influence their decisions on where to focus fundraising efforts.
Manages state and federal government funding and foundation and corporate grants. Prepares and submits grant applications. Prepares all grant reports. Ensures deliverables are met and financial accounting is performed according to grant requirements, including Single Audits, where applicable. Reports deviations and challenges encountered during grant project periods and proposes solutions to leadership to influence their decision making on corrective actions.
Identifies new grant opportunities which align with the Center’s mission with current and potential new funders.
Assists with all aspects of the organization’s financial management including bank and payroll reconciliations, preparing payments, maintaining and organizing documentation of income and expenses for audits, budgeting, forecasting, bookkeeping, maintaining fixed asset list. Allocates expenditures in Quickbooks to corresponding grants and programs. Performs monthly financial grant reporting for funders. Assists with quarterly financial reporting to the board of directors. Prepares materials for annual organization audit and periodic grant audits. Prepares documentation for the submission of the organization’s 990s.
Develops complex tracking systems to monitor grant expenditures and to control spending.
Maintains fundraising software. Logs, tracks, and segments donors and donations for future appeals.
Continuously seeks opportunities for improvement in financial practices and internal controls and implements new policies and procedures where appropriate to safeguard the Center’s funds. Ensures existing policies and procedures are followed while ensuring optimum levels of internal controls.
Maintains current listings on GuideStar and workplace-giving sites. Prepares applications for inclusion in workplace giving campaigns. Assists with assigned fundraising activities. Prepares annual charitable giving applications to relevant states.
Acts as back up for payroll submission.
Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:
Qualified candidates will hold a BA/BS in a related discipline plus 5 years of relevant professional experience. Degree must be conferred by the start date of the position.
