The USC Annenberg School for Communication and Journalism’s Office of Communication and Marketing seeks to hire an enthusiastic professional to join its high-performing team. As a critical member of the communication and marketing team, the budget and events associate will provide budgetary and administrative support to support daily operations. Reporting to the Senior Events Coordinator, the Budget and Events Associate will have several key responsibilities in this position:
Primary Responsibilities: Budget
- Create and monitor financial transactions through Workday and other university financial systems. Interface with purchasing department personnel, external vendors and accounts payable to verify prices and resolve discrepancies.
- Prepare, process and/or review paperwork, e.g., department orders and check requests, requisitions and other budget and business forms.
- Prepare and process office procurement and travel card transactions and reimbursements for the department.
- Process and onboard new supplier vendors, independent contractors, student workers, and temporary staff.
- Reconcile internal records to university financial system ASR's. Research problems and correct errors.
- Track equipment and office supply purchases and obtain maintenance contracts.
- Compose and produce a variety of business correspondence, reports and related materials.
Primary Responsibilities: Events
- Perform administrative duties associated with scheduling and coordinating meetings and annual events such as Welcome Week, Trojan Family Weekend, Commencement, all-hands meetings and staff-appreciation events.
- Arrange vendors and logistics for special events, gather and organize supporting information, and support event production on site as needed.
- Submit required event forms and permits for school wide events to adhere to university standards and policies.
- Advise other staff and faculty colleagues regarding best practices with event planning and management.
- Monitor and maintain correspondence via the school’s general events email account .
- Develop and maintain databases and/or records for event reporting purposes.
- Order and maintain inventory of school-wide promotional items and departmental office supplies.
- Maintain the office calendar and meeting schedule.
- Performs other related duties as assigned or requested.
- Associate's degree, Combined experience/education as substitute for minimum education
- 1-4 years of professional administrative experience.
- Expertise: Secretarial, clerical or administrative experience, including some budget and financial experience.
- Excellent communication skills and attention to detail.
- Strong organizational skills, including ability to organize resources.
- Ability to manage workload well and prioritize effectively when faced with multiple projects, events and deadlines.
- Attend professional meetings and seminars to enhance professional competence.
- Demonstrated ability to work independently and on a team.
- Effective communications: Engages clearly and empathetically in interactions with others in all forms of communication, including verbal and written, one-on-one and group, etc.

Additional Information:
- This is a full-time (37.5 hours per week) non-exempt hybrid position that reports 4 days in office and 1 day remote. Keep in mind this modality is subject to change to full-time onsite given departmental needs. The hours of operation are normal business hours and some flexibility may apply at the manager’s discretion.
- The hourly range for this position is $21.00-$23.00.
