The Division Administrative Partner provides oversight and management of administrative and business functions for assigned divisions/programs within the Department of Pediatrics. Reporting to the Division Administrative Manager with a dotted line to the Division Chiefs, major responsibilities include: monitoring, analyzing, and helping to support divisional performance, including but not limited to: financial, academic, research and strategic productivity. The Division Administrative Partner will work closely with Division Chiefs and administrative leadership (e.g., Human Resources, Finance, Research, Strategy and Analytics) to monitor and analyze performance metrics, recommending and implementing improvements as directed by Chiefs and/or Department Leadership; review and approve divisional purchasing requests; recruit, supervise, train, and evaluate divisional administrative staff; coordinate staff and faculty recruitment, onboarding and off-boarding with department human resources office; serve as credentialing point of contact for the Medical Staff Office and Faculty Practice Group; assist with extramural and research funding budget oversight (if applicable); manage divisional fellowship programs (if applicable); and complete other strategic projects as assigned.

Skill in performing a variety of duties, often changing from one task to another of a different nature, and under stress of frequent interruptions and/or distractions.
Ability to set priorities to complete work in a timely manner; ability to adapt to frequent changes in fluctuating workload.
Skill in working independently and following through on assignments with minimal direction.
Demonstrated skill in writing clear and concise correspondence, reports and summary materials for a variety of audiences including faculty, staff, trainees, students, patients and families, and other constituencies.
Demonstrated knowledge of general accounting terms and principles.
Working knowledge of Microsoft Word, Excel, and PowerPoint.
Ability to work flexible hours when necessary to accommodate divisional deadlines and protocols.
Preferred Skills, Knowledge and Abilities:
Skill in financial analysis, planning, preparation and administration for a divisional budget with multiple funding sources in a university setting, including appropriately correlating available fiscal resources with programmatic needs.
Working knowledge of Federal Contract and Grant policies and procedures.
Demonstrated knowledge of applicable UC policies and procedures related to grants proposals and management and fund management, including state, grant and philanthropic funding, as well as BruinBuy and purchasing.
Knowledge of the accreditation process of Graduate Medical Education, ACGME, UCLA GMEC and ABP subspecialty fellowship program requirements.
Demonstrated experience in supervising staff, including recruitment, training, delegating, evaluating, developing, and counseling/disciplining when necessary.
