Job Description:
Management of clinical contracts, clinical placement requirements (including student health information for clinical education, background checks, CPR cards and other requirements noted by clinical sites), clinical education database, and student clinical site placement requests for the Doctor of Physical Therapy Program. Primary program contact for internal and external administrative coordination of DPT clinical placements. The clinical education component of the DPT program is integrated throughout the year-round curriculum. On average, 175 clinical placements are arranged annually. The process of arranging clinical placements is time sensitive and requires management of a large number of documents and timely, effective communication between the program and students, clinical/hospital management, insurance carriers and legal counsel, as well as ongoing communication with the Director of Clinical Education. Lack of effective management of internal and external components of clinical education coordination places the DPT program's accreditation in jeopardy.
Position Hourly Range: $16.63 - $22.14
Hiring salary can be above the posted pay range if candidate's qualifications are determined to be above the minimum requirements of the position description.
Duties and Responsibilities:
- Clinical database management and design in coordination with external, clinical education software database management company.
- Manages collection, review, posting and dissemination of information required for clinical placements and coordination: student health information, clinical site requests for information, clinical site assignments, pre-clinical onboarding for clinical site requirements etc.
- Primary contact for confirmation of available clinical sites, clinical site placements and determining site interest in clinical education.
- Clinical site file management with up-to-date information (CSIF, student assessments, additional site requirements, onboarding using clinical site specific software applications).
- Coordinates of electronic dissemination of packets for annual placement process- mail merges, excel files, interface with clinical management database.
- Reviews and tracks of student initial, annual, and site-specific requirements - health, CPR, background checks, drug screening, student biographies etc. In addition, corresponding with clinical database reviewers to approve requirements.
- Tracking and management of site evaluation forms completed following clinical placements.
- Manages and updates MSMU portal content and functionality for other electronic repositories (shared drive for contract management with Human Resources, CPI web and CSIF web).
- Acts as liaison for liability insurance issues - ensuring certificates are current and distributed to clinical sites.
- Clinical site contract review and management, including acting as initial liaison to MSMU legal counsel, MSMU Insurance carriers, and MSMU Human Resources.
- Coordinates distribution, collection and collation of clinical site assessment per Commission on Accreditation for Physical Therapy Education requirements.
- Effective yet personable interaction and communication with students, faculty, and sites related to clinical education.
- Problem solving skills for managing onboarding issues and issues when students are in the clinic, and appropriately advising students on next steps should the Director of Clinical Education not be available (e.g. student injuries and student emergencies).
Other Duties and Responsibilities:

Creates electronic information packets to send for student clinical placements and for "new sites" expressing interest in participating in clinical education.

Instructs students on navigation of clinical education database.

Files student paperwork and copying for classes as needed.

Faxing or electronic dissemination of information requested by sites.

Follows up with sites to ensure receipt of clinical placement packets.

Generates packets of information for clinical sites, clinical instructors and other relevant parties.

Attends meetings of the Intercollegiate Academic Clinical Coordinators Council.

Performs other duties as assigned.
Requirements:
Knowledge:
- A high level of proficiency on Excel, Microsoft Word, email communication and internet browsing is required.
- EXXAT database management, the PT-CPI and CSIF websites can be trained, applicant must have prior experience with database basics.
Abilities and Skills:
- Effective written and verbal communication (writing cover letters, proofreading, email, telephone, in-person meetings), attention to detail, ability to multitask effectively and efficiently.
- Ability to communicate internally with students, faculty and administration and externally with clinic/hospital management, insurance carriers, legal counsel and professional organizations.
- Organized, able to learn new tasks quickly with good carryover. Initiative and problem-solving skills to adapt to new situations.
