Job Abstract

Under the supervision of the Clinical Trials Manager and the Program Directors of the UCLA Neuro-Oncology Program, the Clinical Trials Assistant will represent the program in a professional and respectful manner, assist with administration of various tasks, and carry out assigned duties with punctuality, accuracy and discretion. You will be responsible for answering phones and triaging calls to the appropriate person. You will also schedule research-related appointments for enrolled study patients. You must be familiar with each clinical research study’s visit/procedure schedule and will interact with the UCLA Clinical Trials Research Center (CTRC), Radiology, and/or Bowyer Oncology Clinic and also access CareConnect to coordinate these appointments. You will also assist with completing study sponsor forms associated with these appointments. You will also assist with delivering study medications, materials, and/or specimens between the CTRC, campus pharmacies, campus laboratories, and the Clinical Trials office.

The Clinical Trials Assistant will also contribute to maintaining compliance with clinical trials research policies and HIPAA regulations by updating the Returned Drug Accountability records for each study, de-identifying prescription bottles post-use, and de-identifying medical records. You will be responsible for recalling medical records from UCLA’s CareConnect system and requesting medical records from outside institutions/facilities. You will also assist with making hotel reservations for study patients requiring overnight stays. You will perform general tasks such as running errands between campus offices/clinics, faxing, copying, replenishing office supplies; and also coordinate room reservations for clinical trials site initiation/monitoring/auditing visits; and other special tasks as assigned.

Pay Range: $20.97 - $29.39 Hourly

REQUIRED:

Bachelor’s Degree from an accredited university in the biological sciences or related field or an equivalent combination of education and experience.

Demonstrated interest and enthusiasm in assisting patients with brain tumors

Demonstrated experience working with patients with brain cancer

Customer service skills to interact courteously, tactfully, and with sensitivity to patients, research subjects, caregivers, and the general public

Ability to handle sensitive and confidential information with discretion and diplomacy.

Demonstrated knowledge of UCLA forms, policies, procedures and HIPAA regulations

Experience in clinical trials/medical office setting

Demonstrated knowledge of medical/scientific terminology

Excellent verbal and written English skills to communicate effectively

Ability to learn rapidly and follow through tasks with attention to detail

Demonstrated proficiency in MS Word, MS Excel, and database programs

Ability to learn new software programs

Demonstrated experience using databases to maintain and update patient information

Ability to operate standard office equipment.

Skill in using personal computers

PREFERRED:

Knowledge of program’s clinical research protocols to coordinate and schedule appointments

Experience in a laboratory setting and/or handling of biological specimens
