Family Services - Program Specialist

What We're Looking For:
Under general supervision, the Program Specialist will provide support Family Services Program Manager. In this position, you will assist with the implementation of services and special projects for the Family Services Program. Additionally, you will compose correspondences, announcements, create and maintain general files.
Responsibilities:
- Provide customer service to parents, providers, and internal customers.
- Coordinate special projects including research, documentation, spreadsheets, development and presentation design.
- Create and maintain new parent or provider files, including filing required documentation. Assist with file maintenance for the department, including document storage, file retrieval, and file delivery.
- Accurately enter client information on internal databases.
- Assist with dealing with correspondences, complaints, and inquiries and providing solution oriented results. Assist with providing communication (phone, email, and/or mail) for program for new enrollment/re-certification appointments, follow ups, and rescheduling as necessary.
- Receive and review incoming mail. Document received mail in database, sort and distribute mail.
- Assist with office management including completing purchasing requests; preparing letters, forms, notices, presentations and reports; organizing meetings, and managing databases.
EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES YOU SHOULD POSSESS:
- High School diploma required; Associate of Arts degree in the Social Sciences field preferred; 2 years of related work experience can be substituted for the AA degree.
- Minimum 2 years of experience working with parents receiving subsidized child care, social support services, or any relatable transferrable skills, with a minimum one year of experience in an administrative or clerical support position.
- Requires knowledge and competency with using LRS and other database applications. Must have some knowledge of County, State and Federal program requirements for Alternative Payment and Child Care Subsidy Programs.
- Requires excellent verbal and written communication skills. Must be flexible and able to manage multiple tasks and handle changing priorities and deadlines. Possesses strong organizational and administrative skills. Requires considerable accuracy and ability to produce under tight deadlines.
- Requires excellent problem-solving skills and the ability to handle challenging customer calls or requests. Requires great attention to detail. Involves broad application of program knowledge. Must possess ability to work with diverse individuals, groups, and management levels.
- Individual performance can have considerable impact on the agency's ability to pass audit, which may eventually result in the loss of contract and revenue for agency. Maintains regular contact with external agencies. Works with very confidential client information.
