Work Schedule | Monday thru Friday. Office hours are 8:30 p.m. to 4:30 p.m. This is a full-time, benefits eligible, 35 hour per week position.
Additional hours may be needed during periods of high demand. |
Basic Function | Provide administrative support to the Office of Human Resources in a variety of related tasks related but not limited to: pre-employment and onboarding, employee data entry and maintenance, primary reception support, telephone/email monitoring, invoice review and posting, and meeting/event support. This role requires exceptional customer service skills, a high level of organizational and multitasking skills, attention to detail, the ability to adapt to changing conditions, and a strict requirement to maintain confidentiality. |
Essential Job Functions | - Perform general administrative office support including answering phones, responding to inquiries, and triaging calls as appropriate; greeting visitors, preparing various correspondence, reports, and other administrative tasks. Manage and maintain personnel records. Schedule appointments, manage calendars, coordinate events, and travel arrangements as appropriate.
- Facilitates the pre-employment and onboarding paperwork processes for offer letters, background screening, new hire paperwork and tax forms, and I-9 processing.
- Participate in and coordinate HR-led Denison Forward activities, supporting inclusive practices campus wide. Remain current on legislation, emerging trends, and benchmarks to aid in adopting IDEA best practices and compliance requirements. Compile requested information and ensure accuracy in reporting.
- Creates, maintains, or assists with employee life cycle changes via the HRIS. These transactions may pertain to employee information and/or new hires, promotions, demotions, separations, etc.
- Update hired candidate statuses in the applicant tracking system to ensure transfer of personal information to HRIS.
- Coordinate communications with IT, supervisors, campus stakeholders, and other members of the HR team on items related to areas of responsibility.
- Assist with administrative responsibilities and project initiatives supporting student employees across campus.
- Receive and post invoices via the e-procurement system for payment. Assist with tuition benefit processing in accordance with established SOPs.
- Schedule meetings and coordinate to secure event spaces/locations/food orders, as needed. Take meeting minutes as assigned.
- Perform other duties as assigned.

Minimum Qualifications | Required: High school graduate or equivalent with a minimum of 1 year of administrative office or related experience.
Key Attributes: - Must be highly organized and able to work within a fast-paced environment; possess excellent customer service and interpersonal skills.
- Excellent attendance and punctuality required.
- Technical proficiency including Microsoft Office Word and Excel and other systems is required.
- Attention to detail, and the ability to proactively problem-solve; work both independently and with a team, and use sound judgment to coordinate and prioritize various activities and tasks. Experience with managing confidential information discreetly.
