Under general supervision, performs specialized and responsible secretarial and clerical duties, including complex clerical and routine administrative details and performs related work as required.
Job Characteristic: May work a varying schedule of hours which may include early mornings, nights, weekends and holidays.
Examples of Duties
Greets the public, providing general information and making the proper referrals.
Screens and routes incoming correspondence.
Composes correspondence and informational materials on a regular basis on a wide variety of subjects related to the department.
Collects and compiles statistical and financial data and other information for inclusion into special and periodic reports for the budget.
Schedules appointments, makes travel arrangements and notifies interested parties of conferences and meetings.
Compiles and types detailed reports and agenda items.
Establishes and maintains records and files.
Analyzes and makes recommendations for improving office operating practices and budget processes.
Makes copies of correspondence and other printed matter using copying machine.
Reviews a variety of materials including the budget for consistency with operational procedures as well as for format, grammatical construction and punctuation.
Utilizes various computer software programs to prepare documents and reports.
Processes requisitions, invoices, contracts or other documents.
May coordinate clerical activities of department.

Knowledge of:
Methods and practices of financial, statistical, office and general recordkeeping, receptionist and telephone techniques, business letter and report writing.
English usage, grammar, spelling, vocabulary and punctuation.
Personal computer operation with proficiency in Microsoft Word and Excel.
Ability to:
Perform difficult, complex and responsible secretarial and clerical work involving the use of independent judgment.
Maintain complex and accurate records and prepare concise reports.
Interpret and apply policies, procedures, laws, rules and regulations.
Adhere to multiple deadlines and handle multiple projects.
Operate a personal computer proficiently and have an aptitude to learn software applications that pertain to specific area of assignment.
Type at a speed necessary to effectively perform the essential duties of the position.
Pass the written skills assessment test that consists of grammar and punctuation, proofreading, and written communication skills.
Understand and carry out oral and written directions.
Establish and maintain cooperative relationships with those contacted in the course of work.
PHYSICAL DEMANDS AND WORK ENVIRONMENT: Work is performed in an office environment and requires sitting for prolonged periods of time using a computer keyboard and screen. An incumbent stands, walks, and may twist, reach, bend, crouch and kneel. A Department Secretary may also grasp, push, pull, drag and lift boxes of files and other office items weighing up to 30 pounds. An incumbent must be able to meet the physical requirements of the class and have mobility, vision, hearing and dexterity levels appropriate to the duties to be performed.
TRAINING AND EXPERIENCE: Any combination of education and experience which would provide the required knowledge and abilities. A typical way to obtain these would be: Three years of increasingly responsible secretarial experience supplemented by course work in business, secretarial training or office practices.
