Overview As a Senior Administrative Assistant, you will be a member of the bank’s Loan Operations organization providing support to the Executive Director and his leadership team. This position performs a wide range of administrative and staff support duties at an advanced complexity level including calendar management, travel planning, expense reimbursement, and meeting planning/coordination. Coordinates special projects for the department, including reporting, managing organizational charts, budget monitoring, and developing timelines and meeting agendas. Enhances team performance by assisting with documentation, communication, and scheduling. Interfaces with all levels of leadership and associates within assigned business unit, and may have direct client contact. Receives and responds to correspondence. Prepares reports, maintains files, and performs other duties as related to administration. Acts as a department liaison or resource through knowledge of daily operations. This is a hybrid position based in either Pasadena, CA or Phoenix, AZ. Candidates must live within a commutable distance of either the Pasadena or Phoenix office location. Responsibilities Support - Responsible for proactive administrative, logistical, and technical support, assessing and resolving issues that affect daily operations. Manages expense reimbursements for the leadership team. Ensures functionality and accessibility of office equipment, supplies, and facilities. Coordinates special projects and acts as a department representative within the Bank. Documentation - Prepares and maintains a variety of records. Provides complex reporting and data management to track key department factors, identifying discrepancies and trends. May create presentations or other items to assist in business goals. Scheduling - Maintains department calendars and schedules. Coordinates meetings, travel plans, and other events effectively, arranging all necessary logistics and materials. Communication - Collaborates successfully with management and associates in completion of daily administration duties. Maintains open and positive communication when receiving, answering, and directing department correspondence. Communicates with discretion and confidentiality. The base pay for this position is relative to your experience, but the range in California is generally $28.74/hour to $49.81/hour. Qualifications High School Diploma or GED and 3 years of experience in Administrative Assistance Preferred Qualifications: Experience supporting senior levels of leadership Experience supporting multiple leaders Intermediate to Advanced Microsoft Office skills, specifically Word, Excel, Outlook and PowerPoint Experience with calendar management Experience with travel planning and management Experience with expense reporting for multiple leaders Meeting planning experience including offsite events Visio experience is a plus Concur experience is a plus Administrative support experience within financial services is a plus
