Role Purpose
The Administrative Assistant will provide administrative support to the SVP, Intellectual Property and team in the Corporate Intellectual Property Department.
Job Duties
Provide high-volume administrative support, and coordinate departmental workflows, including: handling phones, scheduling, filing, and data entry
Partner with Accounting team to execute department billing
Coordinate with executives and assistants throughout the company to schedule routine meetings, calls, and appointments
Prepare expense reports and keep accurate expense account records
Execute travel arrangements, both domestic and international, and manage updates to plans as needed
Compose, edit, and proofread correspondence, reports, memos, presentations, spreadsheets, and other documents
Organize intradepartmental meetings and events
Collaborate and spearhead special projects, as needed
Qualifications
Basic Requirements
Minimum 2 years of experience in an administrative support role
Proficiency in Microsoft Word, Outlook, PowerPoint, and Excel
Desired Characteristics
Bachelor’s degree preferred
Experience with legal and billing database tools
Experience working in a fast-paced environment
Consummate team player and collaborator
Excellent oral and written communication, time management, multi-tasking, organizational, and interpersonal skills
Demonstrated ability to draft and review various documents, and maintain report statuses
Professional and courteous telephone etiquette
Excellent attention to detail
Familiarity with the concept of "privileged and confidential"
