The USC Keck School of Medicine is seeking a Student Services Assistant to provide a variety of services including but not limited to graduate award processing, financial aid, degree verification, compiling of statistical data, and events planning.
Position Overview:
The Student Services Assistant supports the smooth operation of student services within our academic unit. This role involves a broad range of activities, from administrative support to event coordination and student record management. The ideal candidate will act as a key resource for students, faculty, and staff, providing information and assistance on academic policies, procedures, and programs.
Key Responsibilities:
- Academic Support: Assist in general academic advisement functions, responding to inquiries about registration, course scheduling, degree checks, transcripts, diplomas, academic status, petitions, admissions, and financial aid.
- Document Management: Review incoming documents for preliminary assessment of student problems and issues, making recommendations and referring complex cases to senior staff.
- Event Coordination: Organize, schedule, and coordinate student-focused events such as receptions, orientations, and special events. Manage logistics, including disseminating information and arranging for services as needed.
- Student Records: Maintain and review student records, input data into databases, and generate necessary documents. Verify student information upon request and assist with the administration of academic processes.
- Administrative Support: Provide comprehensive support including scheduling classes, coordinating room assignments, monitoring enrollment, processing petitions, and assisting with academic progress tracking.
- Committee Support: Serve as staff support to academic committees, recording minutes and acting as a liaison between the academic unit and various university offices.
- Reporting and Data Support: Assist in gathering data for reporting purposes and prepare reports for both internal and external stakeholders.
- Program and Service Development: Support the development and implementation of student programs and activities. Assist in creating promotional materials and participating in outreach efforts.
- Confidentiality and Policy Application: Handle inquiries with discretion, applying policies and laws appropriately when releasing confidential information.
- Knowledge Maintenance: Stay updated on university policies, procedures, and regulations relevant to the academic unit.
Qualifications:
- Experience in an educational or academic setting preferred.
- Strong organizational and communication skills.
- Ability to manage multiple tasks and adapt to changing priorities.
- Proficient in database management and office software.
- Demonstrated ability to work effectively with students, faculty, and staff.
- Commitment to confidentiality and ethical handling of sensitive information.
The hourly rate range for this position is $23.23 - $29.07. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidate’s work experience, education/training, key skills, internal peer equity, federal, state, and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.
Minimum Education: Related undergraduate study, Combined experience/education as substitute for minimum education
Minimum Experience: 1 year
