Board of Education
Under the direction of an assigned District-level administrator, communicates with other departments, offices and community members to coordinate the activities of the assigned office; performs various duties related to purchasing, budgeting, payroll and personnel; compiles data and prepares specialized and comprehensive reports; coordinates projects, systems and activities alleviating administrator of routine; performs highly complex clerical work which involves interpreting administrative regulations, policies and procedures; incumbents in this classification may work with highly confidential information. Some incumbents in this classification may work with negotiation matters and may be designated as Confidential employees which are excluded from the bargaining unit. May be required to attend evening meetings and take and transcribe notes. The duties outlined are representative and not exhaustive of the responsibilities which may be required.

ESSENTIAL FUNCTIONS
Maintains confidential records related to employees, students, police reports, investigations and sensitive items.
Greets visitors, applicants and district staff and responds to requests for information or questions as needed.
Prepares, disseminates and monitors proof of service, non-reelection letters and letters of intent related to employment matters in a timely manner.
Researches District policies, regulations, procedures and California Education Code provisions for pertinent information.
Participates in the improvement and reorganization of work procedures and assignments resulting from changes in workload, District policies and/or office procedures.
Schedules meetings, conferences and appointments as assigned, maintains calendar and arranges for meeting facilities.
Prepares and processes correspondence, statistical data, reports, agenda items, reference materials, legal documents, contracts, invoices, and requisitions.
Communicates with schools, departments and community members to disseminate and retrieve information.
Completes and responds to surveys and questionnaires.
Assists in the planning and distribution of work in the division.
Attends meetings, take notes and prepare minutes when requested.
Coordinates conference and training attendance for staff or Board members.
Other duties as assigned.
MINIMUM QUALIFICATIONS
Skills In: Keyboarding at 60 wpm Operating a variety of office equipment including copiers, calculators, fax machines and computers to enter data, maintain records and generate reports and correspondence.
Knowledge Of:
Computer data entry techniques and spreadsheet development;
Basic budgeting practices regarding monitoring and control;
Correct English usage, grammar, spelling, punctuation and vocabulary;
Good public relations; District organization, operations and objectives;
Modern office practices, procedures and equipment;
Principles and practices of assigning, training and work monitoring.
Ability To:
Compose correspondence from notes, verbal direction or audio recording equipment; Understand and follow oral and written instructions;
Read, interpret, apply and explain rules, regulations, policies and procedures;
Plan and organize work for self and others to meet schedules and time lines;
Analyze situations accurately and exercise good judgment;
Write clearly and concisely using good grammar, spelling and punctuation;

Education: Graduation from high school or equivalency is required. An associate of art's or bachelors' degree from an accredited college or university is desirable.
Experience: Five (5) years of increasingly responsible clerical and secretarial experience, preferably including at least two (2) years of experience in a school district.

Physical Requirements: Strength to perform average lifting up to fifteen (15) pounds, good speaking and hearing ability; manual dexterity to operate a computer keyboard; ability to bend, kneel, crouch and reach overhead, above the shoulders and horizontally. Persons with limited lumbar movement, hearing impairment with correctable hearing aid, missing digits, may be capable of performing the duties of the class. Such determination must be made on an individual basis by the District's medical examiner taking into account the nature of the handicap, prosthetic aid and the duties of the position.
Appointment: An employee in this class must serve a probationary period of six (6) months during which time an employee must demonstrate at least an overall satisfactory performance. Failure to do so shall result in the employee's termination.
