Basic Function | To provide support to the Gifts and Records Team. |
Essential Job Functions | - Utilizes Advancement’s Constituent Record Management system (Raiser’s Edge NXT) to maintain accurate and up-to-date information on all constituents, including biographical information, gift data, and other information as necessary.
- In coordination with the Data Management Coordinator and Assistant Director of Gifts and Records Administration, create, maintain, and regularly update all procedural documentation for the Gifts and Records Office.
- Create and maintain processes for matching gift data, including recording matching gifts on the individual and corporate records; paying off matching gifts; identifying and recording accurate corporate mailing addresses for matching gift applications; maintaining or updating matching gift program guidelines for each company; recording or updating employment data for eligible donors.
- Contributes to the successful completion of large-scale data-cleaning projects.
- Oversees the process of gift receipting, including creation, accuracy, updating necessary language, and approvals.
- Helps with mail and checks, including in office deposits.
- Responsible for maintaining gift-related data and documentation, including transaction records, donor agreements, and other records. Ensures the appropriate storage and archiving of gift-related records, per policy.
- Provides timely and accurate responses to donors and internal constituents by monitoring multiple email accounts, answering phone calls, and providing in-office assistance.
- Serve as a subject matter expert to gift officers specific to questions regarding gifts and asset transfers.
- Assists the Senior Associate Director with reports for outstanding pledge payments.
- Stay current in Development Operations, including federal privacy regulations, IRS guidelines, and CASE standards.
- Must be able to work evenings, weekends, and holidays as needed.
- Perform other related duties as assigned or requested.

Minimum Qualifications | - Be comfortable working with computers, scanners, databases, and related hardware/software.
- Experience with Microsoft Office and Google Suite.
- Have a high school degree or equivalent.
- Knowledge of electronic spreadsheets, databases, and word-processing tools.

Preferred Qualifications | - Have a high school degree or equivalent.
- Knowledge of electronic spreadsheets, databases, and word-processing tools.
- 2+ years of office administration experience.
- Ability to exercise considerable initiative, independent judgment, self-motivation, and discretion.
- Be comfortable working with computers, scanners, databases, and related hardware/software.
- Experience with Microsoft Office and Google Suite.
