The Contracts Lead is responsible for overseeing the contract clerk team. Verifying timely review of new/used vehicle sales contracts for the dealership confirming proper completion, accuracy and ensuring all payoffs are processed timely. Wages include Base Hourly Compensation between $27.00 and $29.00.

Contracts Management

• Do the Right Thing!
• Receives and processes new/used contracts from the Finance department.
• Reviews sales documents, such as sales contract, service contracts, GAP and guest credit applications to ensure proper completion and accuracy.
• Posts retail and lease finance contracts to appropriate accounting schedules
• Reconciles and balances designated accounts and reports discrepancies.
• Monitors all vehicle purchase documents for compliance with all applicable federal, state, and local taxes and fees.
• Prepares documents for submission to financial institutions according to requirements of applicable lender.
• Processes trade-ins, voids and unwind deals.
• Responsible for reviewing GL accounts for accuracy.
• Payoff trade for vehicles via check
• Issue equity checks
• Send paper contracts to off-banks.
• Issue checks for Lease Buyouts
• Responsible for processing timely payoffs
• Coach, mentor and develop contract clerks by conducting ongoing training and resources to maximize potential. As well as provide training for new hires
• Managing the day-to day activities of the team and driving productivity
• Delegating tasks as necessary to ensure department needs and objectives are met.
• Monitor each team member’s contributions and participation to ensure tasks are on track to be completed in a timely manner
• Provide ongoing updates and feedback to management team with regards to team member performance and productivity
• Providing back up support for contract clerks that are out on vacation and/or leave
• Be the first point of contact for contract clerks who need support with troubleshooting, problem resolution, difficult tasks, etc.

Business Office Support

• Complies with federal, state, and company policies, procedures, and regulations.
• Performs general office duties such as filing, answering telephones, and handling routine correspondence.
• Assists the business office and performs other administrative duties, as needed
• Maintains high ethical standards in all actions.
• Maintains assigned workspace in an organized and clean manner
• Maintains a professional appearance at all times.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Individual should possess:

• 10+ years of experience as contract clerk in automotive/dealership
• 3 -5 years of experience as team lead/supervisor
• Outstanding communication and interpersonal skills
• Strong attention to detail

• Excellent communication, interpersonal and problem-solving skills.
• Strong leadership and organizational skills.
• Excellent analytical and decision-making acumen.
• Ability to work well with others

• Able to successfully manage multiple tasks simultaneously

• Knowledge of basic mathematical concepts (adding, subtracting, multiplying, dividing, and percentages) and their application; Microsoft Office (Word, Excel, PowerPoint) proficiency desired
• Knowledge of basic dealership policies and lending institution procedures; administrative and clerical procedures and systems such as word processing, managing files and records; and mathematical principles (adding, subtracting, dividing, multiplying, and percentages) and application; Microsoft Office (Word, Excel, PowerPoint) proficiency desired
• Ability to compile, code, categorize, calculate, tabulate, audit, or verify information or data; pays attention to detail; follow-up with guests and employees; read and comprehend instructions and information in the English language; work well with the public; communicate in a professional manner on the phone, Internet and in person; and use standard office equipment.
