Reporting to the Associate Vice President & Chief Operating Officer, the Executive Assistant operates independently, handling a broad spectrum of detailed and confidential administrative tasks. This role requires excellent communication and interpersonal skills to effectively provide information and services to a diverse group of internal and external contacts. Familiarity with the college's policies and procedures is essential. Additionally, this position involves managing the executive office and supporting the Alumni and Donor Relations team.
ESSENTIAL JOB DUTIES
- Provides a wide range of complex office administration and support with the highest level of confidentiality, including maintaining accurate contact reports for the Associate Vice President & Chief Operating Officer.
- Serves as an administrative contact and liaison for various stakeholders such as LA area Trustees, the President's Office, and LA Board of Advisors, including government and media agencies.
- Develops, implements, and manages departmental office systems, procedures, policies, and operations, while also interpreting and communicating these policies.
- Monitors budgets, prepares financial reports, and manages spreadsheets for budgets, grants, or contracts using online financial systems and budget tools.
- Handles correspondence, assesses and routes inquiries, and follows up on actions required for administrative reporting.
- Supports departmental activities by taking minutes, composing and editing documents, managing complex calendars, and arranging meetings, appointments, and travel.
- Coordinates events, maintains office supplies inventory, and performs library and research work.
- Utilizes multiple technical applications for word processing, database management, spreadsheets, and presentations.
- Acts as the primary information source for the department's customers, including faculty, students, staff, and external parties.
- Creates and maintains filing systems, and manages information dissemination via phone, mail, and email.
- Assists in the training, scheduling, and work distribution among students and temporary staff.
- Performs additional duties as needed, with some requiring work during nights and weekends.
QUALIFICATIONS – Qualifications are deemed required or preferred and represent what is needed to effectively perform the job.
- A college degree is preferred, or an equivalent combination of education and experience in an office environment.
- At least five years of related experience with proven office administration and customer service skills are required.
KNOWLEDGE, SKILLS, AND ABILITIES – May be representative, but not all-inclusive, of those knowledge, skills, and abilities commonly associated with the job.
- Knowledge of office processes, business policies, and relevant computer software and electronic communication tools.
- Demonstrated interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy.
- Experience in managing budgets and multiple deadlines is required.
- Ability to work collaboratively across teams and with diverse projects and constituencies.
- Proficiency in Microsoft Office Suite, particularly MS Word and Excel.
- The ability to multi-task and maintain a positive attitude is essential.

COMPENSATION
Compensation for this position will be between $ 66,560 - $ 68,150 annually, commensurate with experience.
