The Division of Film and Television Production of the School of Cinematic Arts is seeking an Administrative Assistant II to provide administrative support and process budget transactions for the department. Duties will include, but are not limited to:
- Provides general office support including communications, event planning and reservations.
- Manages student class assistants. Oversees the hiring process and input of hours worked.
- Partially supervises office student workers. Distributes workload and ensures completion of tasks in a timely manner.
- Manages office expenses. Provides budget updates as requested
- Inputs financial data to ledgers or departmental accounting systems. Reconciles internal records to university financial system. Researches problems and corrects errors or brings to the attention of the supervisor for further consideration.
- Monitors blanket requisition charges and itemizes expenses.
- Monitors and/or controls expenditures for intercampus and external vendors. Reconciles vendor statements and pays invoices
- Processes honoraria payments
- Assist in the preparation of periodic financial reports and proposals
- Equipment Inventory, purchases, and obtains maintenance contracts
- Compose professional correspondence and maintain communication with faculty, staff, students and supervisor.
- Ensures confidentiality when dealing with sensitive information, such as faculty, staff and student files.
- Performs other related duties as assigned or requested. The university reserves the right to add or change duties at any time.
Required Qualifications:
- 3 years of experience
- Strong writing and oral communication skills.
- Ability to conduct self in highly personable and professional manner.
- Ability to multi-task and prioritize workload independently.
- Great team player and “can-do” attitude.
- Secretarial, clerical or administrative experience including some budget, financial or payroll experience.
- Associate's degree, Combined experience/education as substitute for minimum education
Preferred Qualifications:
Bachelor’s Degree
5 years of experience
Proficiency with Microsoft Office (Word, Excel and PowerPoint), Outlook, Doodle Poll, Qualtrics, Kuali, Concur, Blackboard, Zoom, SIS, and WebAdMIT is a plus.
The hourly rate range for this position is $24.62 - 27.59.
