Cantwell-Sacred Heart of Mary High School is an archdiocesan school located in Montebello. The school is seeking a bookkeeper to manage the day to day financial transactions of the school.
Reporting to the principal and have a dotted line responsibility to the Department of Catholic School’s Director of School Finance. The bookkeeper assists in the financial stewardship of the school and maintain the basic internal control requirement form the Archdiocese of Los Angeles.
Essential Job Functions:
Accounts Payable:
-Maintain and controls the Purchase Order/Requisition with proper approval by the President/Principal
-Receive, verify, and pay invoices. Maintain contact information of vendors.
-Ensure that appropriate expenditures are placed in the proper Accounts/Sub Accounts within Aplos, the Archdiocesan software program.
-Establish and maintain a procedure for weekly processing of vendor checks.
-Ensure that all transactions are properly and accurately entered into Aplos on a timely basis, including sports, fundraisers, retreats, purchases and field trips.
Accounts Receivable:
-Track remittances from FACTS, CEF, donors and foundations.
-Assist the Tuition Office in tracking delinquent accounts and sending late notices.
-Assist the President/Principal in Tuition Assistance awards distribution.
-Assist in finalizing students FACTS accounts.
-Prepare 1099 at the end of the year
HR
-Onboarding new employees’ paperwork and updating files.
-Submit payroll to ADP and advising staff on matters of enrolling in benefits plans.
-Track sick and personal days of staff for entry into ADP Payroll System.
-Maintain and update the school personnel file.
Budget:
-Assist the principal with information for budgetary requirements.
-Source faculty budgets and update department chairs on expenditures
-Closely monitor the expenditures vs budget
-Regularly update the Cash Flow Projection
Operations:
-Track and maintain monthly cashflow reports and preparation of Monthly Financial -Report at the School Finance Web Portal.
-Reconcile cash registers on a daily basis and deposit funds to the school checking account.
-Other related tasks assigned by the principal from time to time.
Requirements
-Minimum of 3 years bookkeeping/accounting experience preferably in a school setting.
-Strong communication, collaboration, and organizational skills
-Ability to be a learner and a self starter
-Technology skills and ability to problem solve
-Fingerprint clearance and Safeguard the Children certificate (can get when hired)
-CA Driver’s License

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
