Job Summary
The Receptionist provides administrative support by answering the organization's main phone line, coordinating meeting room and catering requests, as well as providing assistance as requested. This position greets all customers, internally and externally, in person or on the telephone, directs calls and arranges contact with the appropriate Associates. This position enters information on all incoming guests into the security system on a daily basis. This position processes parking validations and is accountable for the validation stickers. This position coordinates meeting room requests for all conference rooms, as well as all the catering requests for meetings. This position also records on a monthly basis in the Information Line all meetings (Board, Regional Community Advisory Committees (RCAC), etc.) that will happen for the month. From time to time the Receptionist serves as back up for the Customer Solution Center Call Center by answering calls from members. This position assists in scheduling employees to work on weekend Community Events. This position may be requested to assist other departments on clerical duties such as collating files or materials, preparing mailings, etc.
Duties
Responsible for handling all calls from the main phone line, greet guests, and process parking validations. Must always present a friendly demeanor and exhibit good customer service. Ensure delivery of optimal customer service to external and internal clients. (50%)
Timely process request for meeting room reservations and catering request. (20%)
Act us back-up for the Call Center to handle overflow of member calls. (5%)
Coordinate scheduling of participants to weekend community events. (5%)
Coordinate reception back-up support from Administrative staff. (5%)
Participate in trainings and seminars. (5%)
Perform other duties as assigned. (10%)

High School Diploma/or High School Equivalency Certificate

Experience
Required: At least 0-6 months of customer service experience.
Previous experience with Lotus Notes and Managed Healthcare (MHC)/CSIM.
Skills
Required: Excellent customer service skills.
Strong verbal communication skills and excellent customer service skills.
Ability to successfully follow through on written and verbal instructions.
Detail-oriented.
Able to work well in a team setting; interact with other staff members in a positive and respectful manner, and train others for back-up receptionist duties.
Excellent attendance and punctuality is expected.
Familiarity with Health Insurance Portability and Accountability Act (HIPAA) and Protected Health Information (PHI).
