Job Description
Position Summary
The Director of Retail Lease Administration and Business Planning is responsible for leading the lease administration, accounts receivable, credit and cash collection functions for the Retail portfolio as well as supporting the VP of Retail with Business Planning and Budgeting for the Retail Portfolio. Responsibilities include overseeing the accurate and timely billing of rents, common area maintenance charges (including calculation of budgeted estimates and annual reconciliations), utility and sundry billings, tenant sales reporting, estoppel preparation, coordination of tenant audits, collection and cash application processing. The Director is also expected to provide business partners (asset management, property management, finance, treasury, financial planning & analysis) with the necessary information that they require for them to effectively operate their business.
Essential Job Functions
1. General Management Roles and Responsibilities:
Overseeing Lease Administration functions and processes
Creating tenant accounts for new leases, amendments and changes and setting up all current and future billings
Lease abstraction
Performing monthly routines: rollovers, holdover and status updates
Overseeing A/R, credit and collection process
Resolution of tenant audits
Quarterly A/R Reserve analysis
Tenant estoppel preparation
Managing and/or participate on special projects and corporate initiatives, as assigned
Design, document and recommend and implement changes in how we use our software systems and billing of Tenants
Proactively fostering a continuous improvement environment
Maintaining and enforcement of the Lease Administration Policies and Procedures Manual and Business Process Flows

2. Work with the VP of Retail on the Retail Business Plan and Budgets. Ensure Asset Management Team and Finance and Planning Teams are consistently updated regarding Retail portfolio performance relative to the Business Plan as new deals, renewals and lease amendments are signed.

3. People Management and Development including:
Coaching and mentoring Lease Administration Team
Providing technical and soft skills development opportunities for the staff through formal and informal channels
Conducting performance evaluations and managing direct reports’ performance development process.

4. Business partner relationship management including developing business partner relationships with operational leaders and identifying opportunities to provide extended shared services.

5. Special projects in support of the Retail VP as needed.

Education
This position requires a(n) Undergraduate (Bachelor) Degree in Business, Accounting, Real Estate.
Work Experience
Below is the required/preferred work experience for this position:
8 - 10 Years: Real Estate and Lease Administration - Required
8 - 10 Years: MRI or Yardi - Financial Technology Experience - Required
3 - 5 years: Retail Accounting - Required
3 - 5 Years: Budgeting and Business Planning - Preferred
Note: 10+ Years of experience can offset minimum educational requirements for this position.
