About the Department/Position:
Under the general supervision of the Executive Director, the Administrative Coordinator provides a full range of varied and complex administrative support for the Executive Director with daily operations. The incumbent provides administrative support for the Innovation Incubator's events and meetings, acts as primary back up to the Executive Director in his absence to support daily needs and other concerns that may arise.
This position seldom requires overtime, but urgent work may come especially during event seasons. The incumbent needs a very high level of self-management, ability to multi task, plan and schedule work, think critically, and prioritize appropriately.
Overview of Duties and Responsibilities:
- Coordinates office support, including reception, events, calendar, travel, expense claims, and approval routing;
- Provides a full range of complex administrative support for the Executive Director and other staff;
- Supports the Advisory Committee meetings with preparing agendas, meeting minutes, and confirmation of guests;
- Acts as back up when needed, and in the absence of the Executive Director, supports with daily operations, calendar maintenance, student assignments, and concerns that may arise;
- Supports and assists the Executive Director with coordination of events and special projects.
Minimum Qualifications:
- High school program, technical/vocational program, or their equivalents combined with several years of related office work experience, equivalent to three (3) years.
Knowledge, Skills, and Abilities:
- Thorough knowledge of correct English grammar, spelling and punctuation
- Knowledge of records management
- Ability to establish and maintain effective working relationships, and handle sensitive situations
- Ability to coordinate multiple different tasks with frequent interruptions
- Highly developed skill in using the following software applications: Excel, Word, Outlook, PowerPoint, Adobe Acrobat, Google Suite, Dropbox, and Windows
- Demonstrated skill in learning unfamiliar or specialized software such as PeopleSoft Student Module, Financial Data Warehouse, and project management tools
Preferred Qualifications:
Preferred education: Bachelor's degree or the equivalent.
Preferred experience: a total of five (5) years both inside the CSU system and beyond. Successful incumbents are familiar with our system-wide policies and the functions of higher education in a publicly funded, collectively bargained environment, but can also contribute an outsider's experience and fresh perspectives.
