Position Objective
Provides administrative/secretarial support to the Chief Information Officer and other staff and consultants as required. Performs diversified administrative and secretarial functions.
Essential Job Duties:

- Organizes, coordinates, and schedules appointments and meetings for Luminis Health personnel, members of the medical staff, other healthcare professionals, outside consultants, sales representatives, and other business professionals.
- Makes room, catering and A/V equipment reservations as needed.
- Makes travel, meeting and conference arrangements according to organizational policies and procedures.
- Provides administrative assistance for the Chief Information Officer and leaders identified by the Chief Information Officer
- Manages all office functions including retention of all documents, supply inventory, billing and invoices.
- Works with Accounts Payable to ensure timely process of vendor/contractor payment.
- Coordinates all correspondence for the department, including processing incoming mail and responding to routine correspondence according to established procedures; screens visitors and telephone calls, takes accurate messages, provides assistance with routine requests and inquires, and refers as appropriate.
- Prepares, assembles, reviews, and assures distribution of information appropriately and as required for the preparation and follow-up of meetings or forums
- Provides coverage for other administrative secretaries as assigned. Ensures that cross training is current to provide adequate support.
- Other secretarial tasks as assigned such as compiling information and maintain departmental statistics.
Educational/Experience Requirements:
- 70 wpm, spelling and grammar skills required.
- Dictation skills, and shorthand or speedwriting, must be demonstrated.
- Computer literacy required. Word processing skills must be demonstrated. All applications of Microsoft Office Suite required.
- HS Diploma/GED
- Excellent written and oral communication skills required.
- Must be able to prioritize multiple projects and meet deadlines.?
- Must have ability to work independently and under pressure.
