The Civil Service Office for the City of Zanesville is now accepting applications for the position of Secretary to Parks & Cemeteries Superintendent. The examination is open for consideration to all qualified and interested employees and to the general public.
Position Qualifications An appropriate combination of education, training, coursework, and experience may qualify an applicant to demonstrate required knowledge, skills, and abilities. An example of an acceptable qualification is: high school degree, GED or equivalent with coursework or experience in secretarial science, office practices, procedures, and operation of a personal computer. Two years of experience in a secretarial position. Must be able to type at 30 wpm /10 errors or less.
Ability to document identity and employment eligibility within three (3) days of original appointment as a condition of employment in compliance with Immigration Reform and Control Act requirements.

Distinguishing Job Characteristics Under direction, provides administrative, clerical, and cemetery records data entry support to the Parks & Cemeteries Superintendent.
Essential Duties and Responsibilities To perform this job successfully, an individual must be able to satisfactorily perform each essential duty listed below. Types and proofs correspondence, pay-in reports, forms, complaints, specifications, and other documents. Transcribes reports, memos, letters, and other documents.
Handles information of a sensitive or confidential nature including union-related issues, personnel files, disciplinary action and drug and alcohol testing results.
Answers telephone and provides routine information.
Prepares payroll for Parks & Cemeteries Division employees and seasonals, completes Higher Rate forms, calculates bills.
Provides assistance to Parks & Cemeteries Superintendent in preparing annual budget. Collects budget information, calculates figures, and records data. Utilizes software programs for cemetery records and data input.
Prepares Cemetery Deeds and compiles veteran's information, records lot sales, internments, cremations.
Orders all Parks & Cemeteries maintenance materials as directed, maintains and updates cemetery records database and associated records.
Files documents and maintains records; processes and distributes mail, prepares pay-in reports, collects and receipts money orders and checks (no cash) for payment of internments, grave lots, transfers, etc. Records transfers, processes payments for bank deposit, mails delinquent account notices, and tracks customer checks for insufficient funds.
Cemetery records lookup and locations of burials for the public.
Records grave sales, handles open and close preneed, recorded for later use.

Equipment Operated General office equipment, Cemetery database software, and Microsoft Office Software.
Contacts with Others Service Director, Treasurer's & Auditor's Offices, funeral directors, monument dealers, general public.
Confidential Data Personnel files.

Vision demands include close, relatively detailed vision with the ability to adjust focus when reading a computer screen.

Use of department software programs including Cemetery database.
Eligible List Applicants who attain a passing score of 70% or better on the written exam and meet the typing requirement of 30 wpm (words per minute) with no more than 10 errors will have their names on an eligible list. The list will be arranged according to written exam scores from highest to lowest; it will then be used to fill current and future vacancies. Applicants must meet requirements of all parts of the exam to be on the eligible list.
Military Credit Applicants who have been honorably discharged from active duty in the U.S. Armed Forces are eligible for additional credit of 20% of their exam provided a passing score is obtained. Copy of honorable discharge or Form DD214 must be submitted before exam. No credit is given if proof of honorable discharge is submitted after exam date.
