Reporting to Supervisor of Accounts Receivable, the Accounts Receivable Assistant will work directly with all department staff as necessary, Business Operations staff, Billing Specialists, Cash Applications and Financial Systems Support. The position is responsible for performing a variety of duties that support the overall accounts receivable function including responding to client and attorney requests for information, facilitating monthly statement process, pulling invoices, investigating client short payments and documenting activities in the Accounts Receivable Collection System (ARCS).
This position can reside in our Philadelphia, Washington DC, or San Francisco offices and offers a hybrid in-office/remote working schedule.
Key responsibilities include:
Special projects such as Paid On Account Balances.
Daily report of UBT w/offs pending.
Assisting in monthly reporting of AR and UBT w/offs.
Preparing client inventory reports for Year End and Mid Year Countdown.
Facilitates incoming email requests to department email account.
Complete vendor forms via Accounts Receivable Inbox.
Responds to and resolves inquiries from clients or partners regarding payments and invoice requests.
Supports Staff in monthly statement process.
Facilitates incoming messages to Accounts Receivable phone line.
Document all activities in Accounts Receivable Collection System (ARCS).
Call clients at the direction and supervision of team members.
Support ARCS functions, changes, and templates.
Work with Financial Systems to troubleshoot department issues as they arise.
Support Mid-Year and Year-End Countdown functions, such as emails and statistics.
Other duties as assigned.
Experience and qualifications:
Bachelor's degree (B. A.) from four-year college or university, in Business Administration or related field.
Minimum 1 year of experience, or equivalent combination of education and experience.
Excellent verbal and written communications skills.
Critical thinking and problem-solving skills.
Time management, customer service, and organizational skills.
Advanced Excel skills.
Ability to adapt to change and balance competing demands.
Ability to read and interpret general business documents, instructions and manuals, write routine business correspondence, and speak effectively with employees, clients, and vendors.
