Duties and Responsibilities | The Program Management Specialist provides administrative and programming support for the university-wide experiential learning program in the Office of Experiential and Integrative Learning. This position performs a variety of complex and routine professional assignments that involve the practical application of the principles and practices for management, experiential learning, and student development/success to administrative, operational, programmatic, and systematic activities in the Office of Experiential and Integrative Learning. This position assists the team with scaling experiential learning across the university within and beyond the classroom and provides frontline customer-centered service to a range of stakeholders including students, alumni, faculty, staff, administrators, and community partners in the Office of Experiential and Integrative Learning. Under the direction of the Director of Experiential Learning, the Program Management Specialist will perform the following:
1. Assist in or manages assigned administrative, operational, and programmatic assignments for the experiential learning program and office. 2. Serve as a frontline and initial point of contact responding expeditiously to a wide range of customer inquiries and requests from students, alumni, faculty, staff, administrators, and community partners. 3. Assist in or facilitates the planning, coordination, and implementation of experiential learning activities and events such as information sessions, presentations, trainings, workshops, fairs, and etc while making recommendations for improvements to practices, procedures, policies, and protocols. 4. Assist in and coordinates partnerships with internal and external partners for the development and implementation of experiential learning opportunities. 5. Assist in the formulation and preparation of budgets, grant proposals, and project proposals as well as monitors budgets and completes payments, expenditures, reconciliations, and etc as approved by the supervisor. 6. Maintain common office spaces and inventories of office supplies, equipment, furniture, software, technology, informational resources, and etc. 7. Assist in the administration and maintenance of the experiential learning management systems and coordination with other related systems as well as completes data entry and updates for these systems. 8. Establish effective communication channels and represents as a liaison between the office with both internal and external stakeholders. 9. Supervise, train, and evaluates administrative staff and student workers, as delegated and designated by the supervisor. 10. Collects, compile, and organize data as well as analyzes, summarizes, and communicates this information to the supervisor and appropriate officials. 11. Prepare reports, recommendations, and other information resources while maintaining records of activities and outcomes data as well as assists in the completion of complex reports for the office. 12. Consult with the supervisor and administrative officials regarding policies, procedures, protocols, partnerships, trends, and interpretation of data following specific instructions. 13. Perform other duties as assigned. |
