Examples of Duties
Job Purpose Under general supervision, performs comprehensive clerical and routine administrative duties to ensure the efficient operation of an office or coordinates a major function within a County agency or bureau.
Essential Job Duties
Coordinates coverage of essential clerical office tasks within the Long-Term Services and Supports (LTSS) and Community Services (CS) divisions to ensure adequate coverage for essential office functions.
Maintains working familiarity with key essential clerical tasks across the division to be able to fill in during the absence of an assigned Office Assistant , and to be able to train others to complete these tasks.
Provides office and clerical support to the Maryland Access Point (MAP)
Assists in the record keeping for the operation of the Loan Closet, including submission of documentation in Workday.
Assists in the operations of the MAP Speakers Bureau.
Assists as needed with answering MAP phones, entering the necessary data into the WellSky database, and forwarding messages to the MAP team.
Completes MAP Satisfaction Surveys with MAP consumers and record the responses in Wellsky.
Provides office and clerical support to the Community Outreach program (COS) by creating and updating daily/monthly tracking systems and assisting with annual projects.
Provides office support for the Division Chiefs, including meeting scheduling, preparations, minutes, and follow up tasks.
Composes and sends mail and email correspondence on behalf of the Division Chiefs.
Completes the annual mailing of letters to Baltimore County older residents who may need help with past due taxes.
Provides clerical support to the Baltimore County Restoring Elder Safety Today (BC-REST) Committee, including: maintaining records, sending correspondence, taking minutes, and assisting in the execution of events
Provides office orientation for new employees in division by instructing employees on the use of the telephone system, fax, mail system, office equipment, etc.
Completes additional training to new Office Assistants, regarding office procedures and shared duties.
Provides general clerical assistance and office support including: answering phone lines, responding to emails, distributing mail, ordering office supplies and forms.

Qualifications
Required Education and Qualifications Possession of a high school diploma or an appropriate equivalent; Plus Two years' typing, word processing, or secretarial experience.
Additional education may be substituted on a year-for-year basis for the required experience.
Additional experience as described in the essential duties may be substituted on a year-for-year basis for the required education.

Conditions of Employment
