Job Title: SCHOOL OFFICE MANAGER
Range: 19
SUMMARY
Provides a variety of secretarial support services in maintaining the clerical day to day operations of a school office. Trains and provides work direction to other clerical personnel and to student assistants.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. This list is meant to be representative, not exhaustive. Performs a wide variety of clerical/secretarial duties for assigned school site principal.
Interviews visitors, takes telephone calls, answers questions, and refers callers.
Screens telephone calls, provides information, answers complaints and refers inquires to appropriate personnel. Requests or gives information.
Assists in arranging and coordinating school and community activities utilizing on and off school facilities.
Assists in coordinating students field trips including authorization and transportation.
Maintains school calendar.
Arranges schedules for substitutes providing the necessary information regarding school procedures, policies and practices.
Composes a variety of reports, memos, forms, correspondence, and newsletters and handle information of confidential matters.
Provides work direction to other office personnel, student assistants and volunteers.
Assists with school site databases.
Maintains student attendance records, admissions, test scores and grades.
Makes appointments for Administrators, and keeps calendars.
Opens and distributes mail, payroll checks and materials.
Maintains a variety of student records including health, immunization, registration, attendance, school budget accounts and other related records.
Maintains cumulative records.
Maintains timesheets, absence, payroll and other employee records for certificated and classified staff.
Maintains accurate telephone calls, provides information, answers complaints and refers inquires to appropriate personnel.
Orders supplies, equipment, materials and maintains purchasing and inventory records.
Administers minor first aid in accordance with established District policy. Dispenses prescription
medication with parental consent.
Performs related duties as required.
MINIMUM QUALIFICATIONS:

Knowledge of:
Office methods, practices and procedures
Receptionist and telephone techniques
Correct English usage
First aid & CPR procedures
School Board/District policy and procedure
Ability to:
Compose correspondence
Perform arithmetic calculations quickly and accurately
Provide work direction to clerical employees and student assistants
Communicate effectively verbally and in writing
Operate a PC and related software
Maintain effective working relationships with other people
Keyboard at a rate of 50 wpm
EDUCATION and/or EXPERIENCE Any combination of education and experience that demonstrates possession of the requisite knowledge, skill and abilities. A typical way to obtain these would be:
High School Diploma, G.E.D. Equivalency, Three years of advanced clerical or secretarial work. School experience preferred.
LICENSES AND CERTIFICATES
First Aid and CPR certificate may be required
