Description
Performs secretarial and related services for Chief Financial Officer and Vice President(s). Handles details of a confidential nature and performs administrative functions. Requires broad knowledge of organization operations and policy. Operates with great latitude for independent judgment and initiative. Uses computers in performing assigned tasks.
PRINCIPAL DUTIES AND RESPONSIBILITIES
• Provides confidential administrative support to the Executive Staff
• Maintains the CFO’s & VPs’ daily electronic appointment calendars and makes travel and lodging arrangements as required
• Collects and prepares information for the Executives’ use in discussions and meetings with executive staff members and outside individuals
• Composes letters and memoranda from dictation, verbal direction, or from knowledge of organization policy or procedures
• Assists the Executives in all aspects of the Board of Directors and Committee meetings
• Attends and maintains minutes of monthly Board meetings
• Coordinates and organizes Board retreat and travel arrangements for Board trips
• Receives and screens telephone calls, mail and visitors
• Performs other duties as assigned
• Auxiliary assistance to various departments, including but not limited to those reporting to or under the prevue of each Executive (Accounting, Sales, Marketing, etc).
Qualifications
SKILLS, KNOWLEDGE AND ABILITIES
• Two to three years related experience and/or training or equivalent combination of education and experience
• Ability to read and interpret documents, such as safety rules, operating and maintenance instructions, and procedure manuals
• Ability to utilize judgment in the application of policy
• Must be able to type 60 wpm
• Must be able to work independently under deadlines from multiple sources and with confidential information
• Must have comprehensive working knowledge of various software applications including, but not limited to, Microsoft Office Suite
• Requires knowledge of Fair’s organization, policies and personnel
• Requires excellent customer service skills and telephone etiquette
• Must have organizational skills and be able to work in a fast-paced environment
• Must be able to multi-task and work under pressure
• Must be able to deal professionally and effectively with all types of people
PHYSICAL REQUIREMENTS OF JOB
