Posting Summary | Rutgers, The State University of New Jersey, is seeking a Program Support Specialist for the department of Biochemistry & Molecular Biology at the Robert Wood Johnson Medical School.
The primary purpose of the position is to provide executive level (confidential, administrative and managerial) support to the Chair of the Department of Biochemistry and Molecular Biology (BMB). Responsible for the coordination and management of the RWJMS BMB department office. Functions as the principal liaison between the faculty, divisions and administrative offices of Rutgers, Robert Wood Johnson Medical School. Manages specific projects, assigned by the Chair, with great attention to detail and adherence to timelines. Prepares reports, supports research programs, and manages websites and databases. Coordinates projects, meetings, correspondence, reports, and fiscal procedures for the Chair. Prioritizes responses to inquiries and provides resolution, where applicable. Demonstrates initiative, and exercises discretion and responsible independent judgment, with decision making responsibility under the direction of the Chair. Supports the Chair and department faculty in execution of their duties in research, education and service.
Among the key duties of this position are the following: - Provides executive level confidential administrative and managerial support to the Chair. Responsible for a broad range of internal and external activities. Functions as the principal liaison between the Chair and the faculty, divisions of the Medical School and other administrative units of the University.
- Assists the Chair with special projects; gathers and organizes information and documents, produces tables and spreadsheets, assists with preparation of reports and presentations, edits drafts and final version for accuracy.
- Assists with strategic planning, and development of new programs and priorities, and in the administration of ongoing programs and activities.
- Supports the Chair relative to administrative responsibilities, including scheduling, travel arrangements, expense reimbursements, requisitions, professional correspondence, faculty hiring, appointments, reappointments, promotions, evaluations, resignations, departmental evaluations and grant activities when applicable.
- Maintains calendar for the Chair.
- Coordinates events and projects, correspondence and communications/announcements.
