Job Summary: | The Purchasing Coordinator will play a pivotal role in supporting the Fiscal Program Manager in managing all purchasing activities for a rapidly growing Aerospace Research Engineering Institute. This role requires meticulous attention to detail, adaptability to changes, and excellent customer service skills. The successful candidate will oversee purchases via Pcard and Okcorral, maintain inventory logs of capital equipment, and coordinate financial transactions and records.
Purchasing Management: - Manage all purchases for engineer support requests for projects and the institute through Pcard and Okcorral.
- Coordinate financial transactions and records, including requisitions in Okcorral and Pcard.
- Maintain a checkout system of Pcard for employees for travel needs.
- Obtain all original receipts and bank statements for Pcard.
- Scan in and organize soft copies for easy access for audit and special requests.
Inventory Management: - Maintain inventory logs of capital equipment.
- Oversee office inventory and assist with day-to-day operations.
- Project inventory and purchasing acquisitions for future needs.
Documentation and Communication: - Demonstrate excellent oral and written communication skills.
- Access, understand, and input details into spreadsheets based on tasking within Replicon PM system and SOWs for projects.
Professional Development: - Obtain the Procurement Professionals Certificate (OKCorral Marshal).
Adaptability and Innovation: - Must be highly detail-oriented and willing to adapt to changes.
- Demonstrate a flexible, innovative, and self-motivated approach to tasks.
Customer Service: - Provide excellent customer service to internal stakeholders.
- Maintain a professional appearance and demeanor at all times.
Perform other duties as assigned. |
Position Qualifications: | Minimum Qualifications: High School/GED Six years of professional experience. Post-secondary education may be substituted for experience (1 year of education: 1 year of experience). - A positive “can-do” attitude along with a professional appearance and demeanor should be modeled at all times.
- Must have a willingness to continually self-initiate learning to remain current in expertise.
- Should be able to quickly grasp and apply training in learning new skills and methods.
- Must be flexible, innovative and self-motivated.
- Must possess excellent listening and customer service skills.
- Must demonstrate excellent oral and written communication skills.
- Must possess excellent interpersonal skills, with the ability to effectively recognize and resolve conflict.
Preferred Qualifications: Bachelor's degree in Accounting, Business, or relevant field. At least two years of experience with OSU Purchasing procedures. |
