GENERAL RESPONSIBILITIES: Performs a wide variety of responsible office and clerical duties; Prepares correspondence, reports, and a variety of documents following specific district and educational guidelines. Communicates with and provides necessary assistance to school visitors, pupils, parents, and school staff. Assists with the organization and processing of school materials which may include copying, distributing, and filing. A high level of accuracy is required to maintain computerized data in various records management system, including student and staff. Prepares materials for use with students, teachers and administrators.
ESSENTIAL DUTIES:

Serves as the primary attendance coordinator for the school using a variety of electronic systems.
Serves as the primary registrar for the school, registering all new students, transfers, and exiting students and manages student files and records including cumulatives, report cards, and interims.
Manages all electronic student data maintaining accurate records for the district and running a variety of reports for the Principal and school district, as needed, using district student information software system.
Assists students, parents and staff in the office as needed.
Answers the phone, screens calls, takes messages, gives information over the phone, refers callers to appropriate source.
Greets all visitors courteously, determines their needs, checks appointments, and directs or escorts them appropriately throughout the building.
Processes student data (i.e., bus notes, pickup notes, attendance notes, etc.) daily.
Maintains appropriate documents and records as needed.
Maintains building key inventory and works with substitutes to ensure they have access to the building as needed.
Maintains communication between student transportation and school staff to ensure key information on bus schedules is relayed as needed.
Distributes mail and other correspondence throughout the school.
Records all appointments and maintains records of daily activities.
Monitors students as needed, including a classroom during the absence of the teacher.
Maintains accurate files.
Performs related work as assigned.
Qualifications: KSA's, Education
KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of standard office practices, procedures, equipment and clerical techniques; ability to make arithmetic calculations; ability to file alphabetically; working knowledge of business English and spelling; ability to establish and maintain effective working relationships with employees and the school community; computer proficiency in office-related software (Microsoft, etc.) and equipment with the ability to quickly learn new systems; demonstrated ability to comprehend and follow instructions.
EDUCATION AND EXPERIENCE: Required: Any combination of education and experience equivalent to graduation from high school, supplemented by office and computer courses or direct experience; proficient at Microsoft programs.
Preferred: Prior clerical and office experience in a school or similar setting helpful.
PHYSICAL CONDITIONS: Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact. Conducts work in a sitting position; however, job requires standing, walking, bending, stooping and light lifting of up to 20 lbs. unassisted.
