The Darden School of Business has an exciting opportunity for a highly professional and motivated individual to join its team as a Darden Ambassador. The Darden Ambassador serves as a welcoming and initial point of contact for the Darden Enterprise and our students, faculty, staff, and guests; thus, the role is an important contributor to Darden’s recognized delivery of a world class experience. The role also manages assigned enterprise projects and programs in support of Darden’s mission and engagement such as our visiting speaker series. This position provides guidance and context for all visitors to Darden, including students, program participants, guest speakers, alumni, recruiters, prospective applicants, and Board of Trustees members. In addition to assisting the Enterprise with VIP events, this position provides high level administrative support and project management support to the dean’s office and senior leadership across the Darden Enterprise. The Ambassador will rely upon deep knowledge of the school’s programs, daily operations and initiatives to effectively direct guests, support daily and weekly activities and troubleshoot situations as they arise.
This position requires excellent interpersonal, communication, organizational and technical skills. The successful candidate will apply strong and proactive organizational skills to include integrated calendar management, project management and event coordination.
Responsibilities:
Ambassador
Manages daily activities and visitors for Darden events and programs; monitors the Enterprise visitor log and calendar to be proactive in preparing for and supporting the arrival of outside guests.
Welcomes all visitors and advises them appropriately about their location and their visit; works with departments to ensure that their guests have appropriate guidance and direction for their arrival to Darden.
Responds to routine visitor questions and troubleshoots any problems.
Supports the Dean’s Office, Admissions, Career Development, Executive Education and the Advancement teams and other departments hosting critical guests during peak times of the year.
Manages temporary parking for visitors, working with UVA Parking & Transportation practices and tools (e.g. mobile app) to facilitate guest parking on Darden Grounds.
Interprets policies and procedures to effectively make decisions.
Administrative and Project Management Support
Coordinates event registration and materials for Enterprise events.
Creates and maintains databases and spreadsheets for Enterprise events.
Prepares agendas for meetings, orders supplies and provides general support for Enterprise events.
Supports key enterprise events such as the Leadership Speaker Series and other activities that may bring significant visitors to Grounds.
Assists with planning and execution of Darden programs and activities, examples may include campaign-related activities.
Drafts and reviews memoranda and reports on new projects and initiatives.
Contributes to successful welcoming and execution of Board of Trustees meetings as needed and serves as back up administrative support as needed.
Contributes to the preparation of presentations by manipulating spreadsheets, charts, graphs and word documents from various sources into finished PowerPoint presentations.
Establishes and maintains a tracking/reporting process for all ongoing projects and tasks.
Works closely with the Advancement, Alumni Engagement and Executive Education team to fully develop and implement regular and ad hoc VIP event programming, including special dinners and other events with the Dean, Darden Society events, Leadership Dinners, Campaign, and special donor recognition events, and other special events throughout the year.
Manages all logistics for special VIP events, both on and off site, ensuring event goals and objectives are met.
Manages the first day experience for new hires. This includes detailed communication with new hires, coordinating IT on-boarding, tour of Darden grounds, and preparing new hire community welcome announcement.
Works with Facilities to help manage student club events.
Professional Experience and Education:
Bachelor's degree and at least three years of relevant experience required. Relevant experience may be considered in lieu of a degree.
Excellent interpersonal, communication, organizational and technical skills required.
Attention to detail essential.
Must have the ability to prioritize a high-volume workload and work in a fast-paced, team-oriented environment.
Flexible work schedule; may be required to help with after-hours events.
Must have excellent office support skills with the initiative and flexibility to take on new projects and learn new software applications as required.
Good judgment and first-class professionalism in dealing with a range of high-profile internal and external constituencies is critical.
