JOB SUMMARY
Primary responsibility for supporting the sales function by performing tasks related to sales contracts processing and closing. To include working with personnel at the community, internal and external customers to assist in preparation of closing documents and contracts.
PRIMARY RESPONSIBILITIES:
- Attend backlog and community team meetings
- Input sales contracts, addendums, and change orders into computer software for tracking
- Verify the accuracy and completeness of all contracts and change orders submitted. Verify approval signature and process deposits
- After release, input dates and issues buyer closing letters
- Maintain files and distribute contracts and change orders
- Maintain the problem log for contracts with discrepancies
- Audit files to ensure complete and prepare Seller's Terms for Escrow/Title companies
- Work closely with Sales, Mortgage and Title company to schedule closing and resolve issues to facilitate closing
- Audits closing figures and/or reviews outside title documents
- Coordinate with Construction and Sales departments the scheduling of all requirements for a timely walk and close
- Manage close dates in PHD and Buyer Tracker, coordinate with Construction and PMC to ensure consistency across all platforms
- Process cancellations and deposits for refund or retention
- Manage Broker payments throughout the year and provide accurate reporting to National Financial Services team for 1099 reporting
- Assists with other division tasks as assigned
MANAGEMENT RESPONSIBILITIES:
Level: Mentor/Coach/Feedback
- Mentors, trains and supports new and existing closing coordinators providing feedback and coaching to drive consistency in settlement process across the division
- Assumes leadership role in proactive process improvement and supports best place to work culture at the division level

REQUIRED EDUCATION:

- Minimum Bachelor's Degree or equivalent
- Notary Public preferred, not required
REQUIRED EXPERIENCE:
(Work related, tools/equipment, software, etc.)
- Related functional experience: minimum of 3+ years in Contracts or Closing experience, preferably in the homebuilding industry
- Strong knowledge of accounting principles, contract laws, and Microsoft Office software
- Ability to prioritize in a fast-paced environment with demonstrated ability to manage multiple competing tasks and demands
- Strong verbal, written, and interpersonal skills
- Ability to work independently with minimal supervision with a demonstrated ability to make decisions
- Strong problem resolution skills
PAY RANGE:
- $29.95 - $37.45 per hour
